Core Responsibilities

Primary Functions

  • Assume full financial responsibility for projects by developing, tracking, and maintaining comprehensive budgets, managing costs, and forecasting profitability from kick-off to close-out.
  • Directly orchestrate and oversee all phases of the project lifecycle, including pre-construction planning, procurement, installation, and final commissioning, ensuring a seamless flow of work.
  • Serve as the main point of contact for the client, building and nurturing strong relationships through proactive communication, regular status updates, and transparently addressing any concerns.
  • Develop, maintain, and rigorously manage detailed project schedules, coordinating timelines with general contractors, subcontractors, and internal labor resources to prevent delays.
  • Champion a culture of safety by enforcing all company, federal, and state (e.g., OSHA) safety regulations on-site, conducting regular safety audits, and ensuring all personnel are properly trained.
  • Meticulously review and interpret mechanical blueprints, engineering specifications, and construction documents to ensure project execution aligns perfectly with design intent.
  • Manage the entire procurement process, including the selection of vendors, negotiation of pricing, and timely purchasing of all necessary equipment, materials, and supplies.
  • Lead the submittal, RFI (Request for Information), and change order processes, ensuring all documentation is accurate, tracked, and communicated effectively to all relevant parties.
  • Conduct regular site visits to personally inspect the quality of workmanship, monitor project progress against the schedule, and proactively identify and resolve potential issues before they escalate.
  • Negotiate, draft, and manage contracts and subcontracts, clearly defining the scope of work, financial terms, and performance expectations to protect the company's interests.
  • Prepare and present detailed project status reports to senior management and clients, covering key metrics such as budget performance, schedule adherence, risks, and milestones.
  • Provide strong leadership and direction to the project team, including field staff, project engineers, and administrative support, fostering a collaborative and high-performance environment.
  • Actively manage and resolve any conflicts, disputes, or challenges that arise during the course of the project, employing strong negotiation and problem-solving skills.
  • Coordinate and lead all critical project meetings, including kick-off, progress, and close-out meetings, ensuring they are productive and that action items are clearly assigned and tracked.
  • Oversee the project close-out phase, ensuring all punch-list items are completed, as-built drawings are finalized, and all financial accounts are settled.
  • Mentor and develop junior project staff, such as Project Engineers and Field Engineers, by delegating tasks and providing guidance to foster their professional growth.
  • Collaborate with the estimating and pre-construction teams during the bidding phase to provide constructability reviews and strategic insights.
  • Manage the billing and collections process for your projects, ensuring timely and accurate invoicing to maintain healthy cash flow.
  • Build and maintain positive relationships with architects, engineers, general contractors, and other trades to ensure smooth project coordination and foster future business opportunities.
  • Ensure all installed systems undergo thorough testing, balancing, and commissioning to verify they meet the specified performance criteria before handing over to the client.

  • Support pre-construction and estimating teams by providing insights from past project performance, cost data, and labor productivity.
  • Contribute to the continuous improvement of project management processes, tools, and best practices within the organization.
  • Collaborate with the sales and business development teams to review potential projects for feasibility, risk, and profitability.

Required Skills & Competencies

Hard Skills (Technical)

  • HVAC Systems Expertise: Deep understanding of commercial and industrial HVAC systems, including chillers, boilers, air handlers, VRF/VRV, and building automation systems (BAS).
  • Project Management Software: High proficiency in construction management software (e.g., Procore, Viewpoint) and scheduling tools (e.g., MS Project, Primavera P6).
  • Financial Acumen & Cost Control: Ability to create, manage, and forecast complex project budgets, and interpret financial reports.
  • Blueprint & Specification Interpretation: The skill to read, analyze, and translate complex mechanical, architectural, and structural drawings and documents.
  • Contract & Subcontract Management: Experience in negotiating, writing, and administering contracts with clients, vendors, and subcontractors.
  • Safety Regulation Knowledge: Thorough knowledge of OSHA and other relevant safety standards and a proven record of enforcing them.
  • Estimating & Take-offs: Ability to perform or review material, labor, and equipment take-offs and understand the fundamentals of cost estimating.

Education & Experience

Educational Background

Minimum Education:

High School Diploma or GED combined with extensive, relevant field or project management experience in the mechanical trades.

Preferred Education:

Bachelor's Degree from an accredited university.

Experience Requirements

Typical Experience Range:

5-10 years of progressive experience within the mechanical construction or HVAC service industry, with at least 3-5 years in a direct project management or assistant project management capacity.

Preferred:

Demonstrated experience managing a portfolio of commercial or industrial HVAC construction projects, including ground-up and retrofit projects with individual values exceeding $1M. A PMP (Project Management Professional) certification is a significant plus.
