Core Responsibilities
Primary Functions
- Meticulously prepare and draft a wide range of U.S. immigrant and non-immigrant visa petitions and applications, including but not limited to H-1B, L-1, TN, O-1, PERM, I-140, and I-485 adjustment of status packets.
- Act as the primary point of contact for clients to gather necessary information, documentation, and signatures, providing clear instructions and timely follow-ups to ensure all deadlines are met.
- Compile, organize, and manage extensive supporting documentation for petitions, ensuring every piece of evidence is correctly labeled, paginated, and presented according to firm and government standards.
- Proactively track the status of pending cases with government agencies such as USCIS, the Department of Labor (DOL), and the Department of State (DOS), and proficiently update the case management system with all new information.

- Assist attorneys and paralegals in developing case strategies by gathering preliminary information and preparing case summaries for review.
- Conduct basic legal and factual research on immigration-related issues, regulations, and procedures under the guidance of senior legal staff.
- Manage and oversee multiple attorneys' calendars, including the critical task of docketing all deadlines, expiration dates, and follow-up actions to prevent any lapses in status.
- Coordinate the translation of foreign-language documents and obtain educational or experience evaluations as required for specific immigration petitions.
- Assist in the preparation of detailed and persuasive responses to government-issued Requests for Evidence (RFEs) and Notices of Intent to Deny (NOIDs).
- Diligently maintain both physical and electronic client files, ensuring they are organized, up-to-date, and compliant with firm policies and data privacy regulations.
- Prepare and maintain Public Access Files (PAFs) and related compliance documentation for H-1B and E-3 visas, ensuring audit-readiness.
- Schedule client consultations, meetings, and calls for attorneys, and prepare the necessary background materials for these appointments.
- Facilitate the new client intake process, including preparing engagement letters, opening new matters in the system, and creating initial client files.
- Provide regular, empathetic, and clear updates to clients and stakeholders on the progress of their cases, managing expectations throughout the process.
s- Perform thorough proofreading and quality checks on all petitions, forms, and correspondence to ensure absolute accuracy and eliminate typographical errors before submission. - Manage essential administrative duties, including copying, scanning, faxing, and preparing mailings and courier shipments for case submissions.
