Core Responsibilities

Primary Functions

  • Spearhead the end-to-end management of complex client implementation projects, from post-sale kickoff to final go-live and successful transition to the Customer Success team.
  • Develop comprehensive, tailored project plans that define scope, project milestones, timelines, resource requirements, and risk mitigation strategies for each client engagement.
  • Serve as the primary strategic point of contact and trusted advisor for clients throughout the implementation, building strong relationships and managing expectations with key stakeholders.
  • Conduct in-depth discovery sessions and business process reviews to fully understand client needs, challenges, and success criteria, translating them into technical and functional requirements.
  • Orchestrate and lead internal and external kickoff meetings, regular status calls, and executive steering committee presentations to ensure alignment and transparent communication.
  • Configure and customize our platform to meet the unique business requirements of each client, demonstrating a deep understanding of product capabilities and limitations.
  • Coordinate and align cross-functional internal teams, including Sales, Product Management, Engineering, and Customer Success, to ensure resources are allocated effectively.
  • Proactively identify, track, and resolve project issues, risks, and dependencies, escalating critical concerns to senior management to ensure project success.
  • Develop and deliver comprehensive training programs and materials for client end-users and administrators to drive high platform adoption and long-term value.
  • Manage multiple, concurrent implementation projects of varying complexity, effectively prioritizing tasks to keep all projects on track and within budget.
  • Track key project metrics and KPIs, providing regular, detailed status reports and performance dashboards to both internal leadership and client stakeholders.
  • Ensure a smooth and formal transition of clients from the implementation phase to long-term support, complete with thorough documentation and knowledge transfer sessions.
  • Oversee the technical aspects of implementation, including data migration strategies, system integrations (APIs), and coordination of user acceptance testing (UAT).
  • Manage project scope and execute formal change control processes when clients request modifications or additional services beyond the initial statement of work (SOW).

Secondary Functions

  • Act as a client advocate by gathering and consolidating product feedback from implementation engagements to inform the product development roadmap.
  • Define and refine implementation methodologies, best practices, and standardized processes to improve the quality, efficiency, and scalability of our professional services.
  • Create and maintain a repository of project documentation, including configuration guides, training materials, and go-live checklists.
  • Collaborate with the sales team during the pre-sales cycle to provide implementation expertise, assist in scoping projects, and help define realistic SOWs.
  • Facilitate client UAT, guiding them through the testing process, triaging feedback, and ensuring all critical issues are resolved before go-live.
  • Drive continuous improvement initiatives within the implementation team, mentoring junior members and contributing to a culture of excellence.
  • Ensure all contractual obligations and deliverables outlined in the SOW are met or exceeded, leading to high levels of client satisfaction and referenceability.
  • Stay current with industry trends, competitive landscape, and new product features to provide expert guidance to clients.

Required Skills & Competencies

Hard Skills (Technical)

  • Project Management Expertise: Advanced proficiency with project management software (e.g., Jira, Asana, Smartsheet, Wrike) and methodologies (e.g., Agile, Waterfall).
  • SaaS Implementation: Proven experience managing full-cycle SaaS software implementation projects for external clients.
  • CRM Proficiency: Hands-on experience with CRM systems like Salesforce or HubSpot for tracking client interactions and project status.
  • Technical Acumen: Solid understanding of technical concepts such as APIs, system integrations, data migration, and SSO.
  • Data Analysis: Ability to analyze client data, understand data structures, and guide data migration efforts. Basic SQL knowledge is a plus.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's Degree or equivalent practical experience in a technical or business-related field.

Preferred Education:

  • Bachelor’s or Master’s Degree; PMP, PRINCE2, or other project management certification is highly desirable.

  • Demonstrated success in managing relationships with enterprise-level clients.
