Core Responsibilities

Primary Functions

  • Prepare, review, and process a full set of import documentation, including commercial invoices, packing lists, bills of lading (ocean), air waybills (air), and certificates of origin, ensuring 100% accuracy.
  • Meticulously track and trace international shipments across various modes of transport (ocean, air, truck) from origin port to final destination, providing real-time updates to stakeholders.
  • Serve as the primary liaison with customs brokers, providing them with necessary documentation and information to facilitate timely and compliant customs clearance.
  • Verify and assign Harmonized Tariff Schedule (HTS) codes for imported goods, ensuring proper classification for duty and tax assessment.
  • Calculate, process, and audit payments for import-related charges, including duties, taxes, freight costs, and brokerage fees.
  • Maintain constant and professional communication with overseas suppliers, freight forwarders, shipping lines, and drayage carriers to coordinate shipment bookings and movements.
  • Ensure all import activities strictly adhere to the regulations set forth by U.S. Customs and Border Protection (CBP) and other government agencies (OGA) like the FDA or USDA.
  • Diligently maintain and update import transaction records, shipping logs, and compliance documents within the company's ERP or transportation management system.
  • Proactively identify and resolve any shipping issues, such as port congestion, customs holds, transit delays, cargo damage, or quantity discrepancies.
  • Arrange and coordinate inland transportation (drayage) for containers from the port or airport to the designated warehouse or distribution center.
  • Thoroughly audit freight and customs brokerage invoices against negotiated rates and service agreements to identify and dispute discrepancies.
  • Cultivate and manage strong working relationships with third-party logistics providers (3PLs) to ensure service level agreements are met or exceeded.
  • Accurately prepare and submit Importer Security Filing (ISF 10+2) data to CBP within the mandated timeframe for all ocean shipments.
  • Manage and review letters of credit and other trade finance documents to ensure they align with shipment terms and compliance requirements.
  • Monitor carrier and broker performance, contributing to quarterly business reviews and reporting on key performance indicators (KPIs) like on-time delivery and cost per unit.
  • File and meticulously manage claims with insurance companies or carriers for any goods lost or damaged during transit.
  • Provide clear and regular status updates on inbound shipments to internal teams, including procurement, inventory management, and sales, to facilitate better business planning.
  • Stay informed and educated on evolving international trade laws, tariffs, sanctions, and customs regulations that could impact the business.
  • Classify products according to Schedule B and HTS codes, ensuring regulatory compliance and accurate duty calculations.
  • Coordinate with the warehouse receiving team to provide advance shipping notices (ASNs) and ensure they are prepared for incoming container arrivals.

Secondary Functions

  • Support ad-hoc data requests and exploratory analysis regarding import volumes, lead times, and landed costs.
  • Contribute to process improvement initiatives aimed at optimizing the efficiency and cost-effectiveness of the import logistics function.

Required Skills & Competencies

Hard Skills (Technical)

  • Incoterms Knowledge: Deep understanding of Incoterms 2020 and their application to cost, risk, and responsibility in international shipping.
  • HTS Classification: Proficiency in researching and applying Harmonized Tariff Schedule (HTS) codes for a variety of products.
  • Documentation Expertise: In-depth knowledge of key import documents, including Bill of Lading, Air Waybill, Commercial Invoice, and ISF.
  • Logistics Software Proficiency: Experience using Transportation Management Systems (TMS), Enterprise Resource Planning (ERP) systems (like SAP or Oracle), and freight forwarder portals.
