Core Responsibilities
Primary Functions
- Physically receive, unbox, and meticulously inspect all incoming shipments of IT hardware, including servers, networking equipment, and storage arrays, verifying contents against purchase orders and packing slips.
- Diligently identify and document any shipping discrepancies, such as shortages, overages, or incorrect items, and communicate these findings to procurement and logistics teams for resolution.
- Conduct thorough visual and physical inspections of all new equipment to identify any potential transit damage, reporting and documenting any findings to initiate insurance or vendor claims.
- Perform asset tagging for all received hardware, applying unique identifiers and scanning them into the asset management database with exceptional accuracy.
- Create and populate new asset records within the company's Configuration Management Database (CMDB) or IT Asset Management (ITAM) system, ensuring all required fields (serial number, model, PO number, location) are entered correctly.
- Execute initial "Power On Self-Tests" (POST) and basic functional checks on new hardware to identify any "Dead on Arrival" (DOA) units prior to their entry into production inventory.
- Manage the Return Merchandise Authorization (RMA) process for any DOA or damaged equipment, coordinating with vendors for replacement or repair and tracking the process to completion.
- Organize and palletize received hardware, ensuring it is safely and securely staged in the designated inbound or inventory storage area according to established layout plans.
- Update inventory management systems in real-time to reflect the status and location of newly received assets, maintaining a precise chain of custody from the loading dock to the inventory shelf.
- Prepare and kit hardware components based on upcoming deployment projects or build orders, ensuring all necessary parts are collated and ready for provisioning teams.
- Maintain a clean, safe, and organized receiving and inbound processing area, adhering to all company safety (EHS) standards and operational best practices.
- Utilize handheld scanners and other inventory management tools to efficiently process high volumes of inbound assets while maintaining data integrity.
- Cross-reference received hardware specifications with the original purchase order details to confirm that the equipment meets the technical requirements requested by engineering teams.
- Securely wipe and process any returned or reusable shipping materials, such as server rails or packaging, for future use or proper disposal.
- Interface directly with freight carriers and delivery drivers to sign for shipments and manage the inbound dock schedule effectively.
Secondary Functions
- Support periodic physical inventory audits and cycle counts, assisting in the reconciliation of physical stock against system records to ensure ongoing accuracy.
- Contribute to the continuous improvement of inbound processes by identifying bottlenecks and suggesting enhancements to workflows, tools, or documentation.
- Collaborate with Data Center or IT Operations teams to understand upcoming hardware requirements and prioritize the processing of critical equipment.

Required Skills & Competencies
Hard Skills (Technical)
- IT Hardware Knowledge: Strong familiarity with enterprise-level IT hardware components, including servers (rack-mount, blade), network switches, routers, and storage devices from major vendors (e.g., Dell, HPE, Cisco, Arista).
- Asset Management Software: Proficiency in using IT Asset Management (ITAM) systems or Configuration Management Databases (CMDB) like ServiceNow, Remedy, or proprietary equivalents.
