Core Responsibilities

Primary Functions

  • Design, develop, and customize complex and creative tour packages and travel itineraries for individual clients (FIT), groups, and MICE (Meetings, Incentives, Conferences, and Exhibitions) accounts.
  • Prepare detailed and compelling travel proposals and quotations in response to inquiries from international tour operators, travel agencies, and direct clients, ensuring quick turnaround times.
  • Manage the complete lifecycle of a booking, from initial quotation to final invoicing and post-trip feedback collection, ensuring accuracy and client satisfaction at every stage.
  • Negotiate rates, special offers, allocation allotments, and favorable terms and conditions with a wide network of local suppliers, including hotels, transport companies, restaurants, guides, and attraction providers.
  • Act as the main point of contact and build strong, lasting relationships with B2B clients and partners, providing expert advice, support, and timely information regarding the destination.
  • Handle all reservation requests for services, meticulously confirming bookings with suppliers and ensuring all details are accurately recorded in the reservation system.
  • Prepare and issue all necessary client and supplier documentation, including detailed itineraries, service vouchers, welcome packs, and supplier confirmation orders.
  • Provide end-to-end operational support for tours in progress, acting as a key contact for tour leaders and clients to resolve any issues, emergencies, or last-minute changes that may arise.
  • Maintain and update supplier information, contracts, and rates within the company's database or tour operating system to ensure data integrity and accuracy for the sales and operations teams.
  • Conduct in-depth research of the destination to discover new products, unique experiences, and hidden gems to continuously enhance and innovate the company's travel offerings.
  • Collaborate closely with the sales and marketing teams to provide product information, assist in the creation of marketing materials, and participate in promotional activities like trade shows and FAM trips.
  • Manage group travel logistics, including rooming lists, meal plans, transportation schedules, and special requests, ensuring seamless coordination between all involved suppliers.
  • Monitor competitor activities and market trends within the inbound tourism sector to identify new opportunities and ensure our product portfolio remains competitive and appealing.
  • Process payments to suppliers and manage file profitability, ensuring that all bookings are operated within budget and meet company margin targets.
  • Provide comprehensive pre-tour briefings and materials to tour guides and drivers to ensure they are fully prepared and aligned with the client's itinerary and expectations.

Secondary Functions

  • Support the contracting department by identifying new potential suppliers and providing feedback on the performance and quality of existing partners.
  • Assist the finance department with invoice reconciliation, payment queries, and ensuring the timely closure of trip files.
  • Participate in product training sessions for internal teams and external partners, sharing expert destination knowledge and promoting new tours or experiences.
  • Develop and maintain standardized operational procedures to improve efficiency, quality control, and communication within the incoming department.
  • Manage online booking platforms and B2B portals, ensuring that product information, availability, and pricing are kept current.
  • Handle customer service escalations and complaints with professionalism and empathy, aiming for swift and satisfactory resolutions.
  • Support ad-hoc data requests and exploratory data analysis to generate reports on booking trends, destination popularity, and client demographics.
  • Contribute to the organization's sustainability initiatives by promoting responsible travel practices and sourcing eco-friendly suppliers.
  • Collaborate with business units to translate data needs into engineering requirements for system improvements.
  • Participate in sprint planning and agile ceremonies within the operations and product teams to drive continuous improvement.

Required Skills & Competencies

Hard Skills (Technical)

  • Tour Operating Software Proficiency: Advanced knowledge of industry-specific software like Tourplan, Travelogic, or other proprietary reservation systems.
  • Supplier Negotiation & Contracting: Demonstrated ability to negotiate favorable rates, terms, and allocations with hotels, transport providers, and other tourism-related suppliers.
  • Itinerary Design & Costing: Skill in creating logical, engaging, and financially viable travel itineraries from scratch, with accurate and competitive pricing.
  • In-depth Destination Knowledge: Extensive geographical, cultural, and logistical knowledge of the specific country or region of operation.
  • GDS Proficiency (Optional but Valued): Experience with Global Distribution Systems like Amadeus, Galileo, or Sabre for flight and accommodation bookings.
  • MS Office Suite: High proficiency in Microsoft Excel for costing and data management, as well as Word and PowerPoint for proposals and presentations.
  • Multilingual Fluency: Professional fluency in English is essential; proficiency in other languages relevant to key source markets is a major asset.

Educational Background

Minimum Education:
