Core Responsibilities
Primary Functions
- Financial Oversight & Budgeting: Spearhead the development and implementation of annual property operating and capital budgets, conducting regular variance analysis to ensure financial performance aligns with ownership's objectives.
- Tenant Relationship Management: Cultivate and maintain strong, positive relationships with all tenants, serving as the main point of contact for communications, requests, and issue resolution to drive high levels of satisfaction and retention.
- Lease Administration & Compliance: Oversee all aspects of lease administration, including abstracting key lease terms, ensuring tenant and landlord compliance, processing renewals, and managing move-in/move-out procedures.
- Accounts Receivable Management: Proactively manage the collection of all rents and other charges due, diligently pursuing delinquencies and preparing necessary documentation for legal action if required.
- CAM & Expense Reconciliation: Manage and complete the complex annual reconciliation process for Common Area Maintenance (CAM), real estate taxes, and property insurance, ensuring accuracy and timely billing to tenants.
- Vendor & Contract Negotiation: Solicit, negotiate, and manage contracts with third-party vendors for all property services (e.g., landscaping, janitorial, security, HVAC, roofing), ensuring quality service and cost-effectiveness.
- Property Maintenance & Operations: Conduct regular and thorough inspections of the property, grounds, and vacant spaces to identify maintenance needs and ensure all areas are maintained to the highest standards of safety, functionality, and appearance.
- Capital Project Management: Plan, budget, and oversee capital improvement projects, from scope definition and bidding to contractor supervision and project completion, ensuring minimal disruption to tenants.
- Financial Reporting: Prepare and present comprehensive monthly, quarterly,and annual property performance reports for ownership and asset managers, detailing financial status, operational activities, and variance explanations.
- Risk Management & Safety Compliance: Implement and monitor risk management programs, ensuring the property is compliant with all local, state, and federal regulations, including OSHA, ADA, and environmental standards.
- Emergency Preparedness & Response: Develop and maintain a comprehensive emergency response plan for the portfolio and act as the lead coordinator during any property-related emergencies.
- Construction & Tenant Improvement Oversight: Coordinate and monitor tenant improvement (TI) and other construction projects, liaising between tenants, contractors, and architects to ensure projects are completed on time and within budget.
- Property Tax Review: Assist in the review and appeal process for property tax assessments to identify potential savings and ensure fair valuation.
- Insurance Administration: Manage property and liability insurance claims, ensuring timely reporting and coordination with insurance adjusters to mitigate losses.
- Vacancy Management: Ensure that vacant spaces are maintained in a show-ready condition to support the efforts of the leasing team in marketing the property effectively.
- Sustainable Practices Implementation: Investigate and recommend sustainable practices and energy-saving initiatives to reduce operating costs and improve the property's environmental footprint.
- Due Diligence Support: Provide operational support and property-level information for acquisition and disposition due diligence processes, including document review and site assessments.
- Accounts Payable Processing: Review and approve all property-related invoices, ensuring they are coded correctly and paid in a timely manner according to budget constraints.
- Market Analysis: Stay informed of local and regional industrial market trends, including vacancy rates, rental rates, and new construction, to provide context for property performance.
- Technology Integration: Effectively utilize property management software (such as Yardi or MRI) for all operational and financial tasks, and explore new technologies to improve efficiency.
