Core Responsibilities

Primary Functions

  • Oversee the entire lifecycle of jewelry inventory, from initial procurement and receipt in the system to final sale or disposition, ensuring accurate tracking and valuation at every stage.
  • Develop and implement sophisticated inventory control systems, policies, and procedures to minimize loss, prevent theft, and maintain the integrity of high-value assets across all locations.
  • Conduct comprehensive sales analysis and demand forecasting to establish optimal stock levels, reorder points, and safety stock for thousands of unique SKUs.
  • Manage and reconcile inventory across multiple channels, including brick-and-mortar boutiques, e-commerce platforms, consignment partners, and trunk shows, ensuring data synchronization.
  • Plan, execute, and oversee regular physical inventory counts and cycle counting programs, investigating discrepancies and implementing corrective actions to ensure system accuracy.
  • Collaborate closely with the buying and merchandising teams to provide data-driven insights for assortment planning, product development, and seasonal purchasing strategies.
  • Manage the receiving process for all new jewelry products, verifying shipments against purchase orders for accuracy in quantity, quality, and specifications before entry into the inventory system.
  • Process and monitor all inventory movements, including transfers between stores, shipments to clients, and items out on memo or for repair, maintaining a flawless chain of custody.
  • Generate and analyze detailed inventory reports on key metrics such as inventory turnover, sell-through rates, stock aging, and gross margin return on investment (GMROI).
  • Identify slow-moving or obsolete inventory and work with sales and marketing teams to develop and execute effective liquidation or promotional strategies.
  • Maintain a highly organized and secure stockroom and vault, implementing best practices for the storage, handling, and display of fine jewelry and loose stones.
  • Act as the primary point of contact for inventory-related inquiries from sales, finance, and executive leadership, providing timely and accurate information.
  • Manage relationships with vendors and suppliers regarding shipping, receiving, and returns, ensuring compliance with company standards and resolving any discrepancies.
  • Administer and maintain the accuracy of the inventory management software or ERP system, ensuring all product data, including costs, descriptions, and attributes, is up-to-date.
  • Coordinate with the finance and accounting departments for month-end and year-end inventory reconciliation, valuation, and auditing purposes.
  • Develop and lead training programs for retail staff on proper inventory handling, security protocols, and system usage to foster a culture of accountability.
  • Manage the inventory aspects of special orders and custom design pieces, tracking components and production timelines to ensure timely delivery to clients.
  • Oversee the process for returned merchandise, assessing product condition, processing credits, and returning items to sellable stock or routing for repair.
  • Monitor and manage consignment inventory programs with partners, tracking sales, and ensuring timely reporting and reconciliation.
  • Prepare detailed reports and presentations for senior management that summarize inventory performance, highlight trends, and provide strategic recommendations for improvement.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor’s Degree in a relevant field.

  • Graduate Gemologist (G.G.) diploma from the Gemological Institute of America (GIA) or equivalent certification.
