Core Responsibilities
Primary Functions
- Conduct comprehensive and meticulous reviews of incoming job applications to ensure they meet the minimum qualifications and completeness criteria established for each specific role.
- Accurately and efficiently enter, update, and maintain candidate data within the Applicant Tracking System (ATS), ensuring 100% data integrity from application to final disposition.
- Triage and categorize a high volume of applications, assigning them to the appropriate recruiter, hiring manager, or job requisition folder according to predefined workflows.
- Perform initial screening of resumes and cover letters against job descriptions to create preliminary shortlists of potentially qualified candidates for recruiter review.
- Manage and respond to a high volume of general inquiries from candidates regarding application status, job details, and the overall hiring process in a timely and professional manner.
- Schedule and coordinate initial phone screens, interviews, and follow-up meetings between candidates and the recruitment team, managing complex calendars across multiple time zones.
- Prepare and distribute standardized pre-interview and post-interview communication materials to candidates, ensuring they are well-informed at every stage.
- Initiate and monitor the pre-employment screening process, including background checks, reference checks, and any required assessments, ensuring all steps are completed and documented.
- Assist in the posting and management of job advertisements on various career portals, job boards, and social media platforms, ensuring consistent branding and messaging.
- Generate and compile regular reports on application volume, source effectiveness, time-to-fill metrics, and other key performance indicators from the ATS.
- Maintain meticulous records of all candidate interactions and status changes within the ATS to provide a clear and auditable trail of the recruitment lifecycle.
- Identify and flag high-potential candidates who may be suitable for other current or future openings within the organization, contributing to our talent pipeline.
- Ensure all recruitment activities are conducted in compliance with company policies, as well as federal, state, and local employment laws and regulations (e.g., EEO, OFCCP).
- Collaborate closely with recruiters and hiring coordinators to understand the specific nuances and priorities of each open requisition.
- Conduct data cleansing and system audit projects within the ATS to resolve discrepancies and improve overall data quality and system performance.
- Provide administrative support for recruitment events, such as career fairs and open houses, including logistics, material preparation, and candidate follow-up.
- Process and track employee referrals, ensuring that referring employees are kept informed and that referred candidates are handled with priority.
- Assist in drafting and sending offer letters and other employment-related documents, ensuring accuracy and completeness before they are sent to candidates.
- Troubleshoot basic technical issues that candidates may experience with the online application portal, guiding them through the process to ensure a positive user experience.
- Participate in process improvement projects aimed at enhancing the efficiency and effectiveness of the application processing and initial screening stages.
- Archive and manage application records according to the company's data retention policies, ensuring compliance and organized record-keeping.
