Core Responsibilities
Primary Functions
- Diligently manage the end-to-end job posting process, from drafting and formatting to publishing across a diverse range of platforms including LinkedIn, Indeed, Glassdoor, and various niche job boards.
- Ensure every job posting is a perfect reflection of our company brand, meticulously checking for consistency in tone, voice, and formatting standards.
- Act as the first line of review, performing initial screening of incoming applications against the basic, non-negotiable qualifications for a role.
- Meticulously maintain the integrity of our Applicant Tracking System (ATS) by ensuring all candidate data and job information is accurate, up-to-date, and correctly categorized.
- Systematically monitor the performance of live job postings, tracking view-to-apply ratios and overall applicant flow to identify underperforming ads.
- Strategically refresh, repost, or "bump" job advertisements to maximize visibility and ensure a continuous stream of qualified applicants.
- Manage job board credentials, subscriptions, and posting inventories, ensuring the team has uninterrupted access to necessary recruitment tools.
- Serve as the primary point of contact for troubleshooting any job posting errors or technical issues, liaising directly with job board support teams to find swift resolutions.
- Conduct regular audits of all active job postings to ensure they remain accurate, compliant with relevant regulations (e.g., EEO), and are promptly removed once a position is filled.
- Respond to basic candidate inquiries regarding application status or technical difficulties with the application process in a professional and timely manner.
- Assist in the creation and maintenance of a centralized library of job description templates, ensuring they are current and easily accessible to the recruiting team.
- Support the recruiting team by accurately entering and updating candidate information into the ATS, ensuring a clean and reliable data source.
- Collaborate with recruiters to understand the specific needs of each role to ensure job postings are targeted and compelling to the desired audience.
- Track and manage job posting budgets and credit usage across various platforms, providing regular updates to team leadership.
Secondary Functions
- Generate and compile routine reports on key recruitment metrics, such as number of applicants per job, source of hire, and time-to-post.
- Research and evaluate new or niche job boards and recruitment advertising platforms to recommend innovative ways to attract diverse talent pools.
- Provide general administrative support to the broader Talent Acquisition team as needed, including data entry projects and information gathering.
- Assist in documenting best practices and standard operating procedures (SOPs) related to job posting and applicant management.
- Participate in team meetings to provide updates on posting activity and initial applicant trends observed from the job boards.
- Help maintain team-wide resources, such as contact lists, vendor information, and process guides related to our online recruitment advertising efforts.
Required Skills & Competencies
Hard Skills (Technical)
- Applicant Tracking System (ATS) Proficiency: Hands-on experience with at least one major ATS (e.g., Greenhouse, Lever, Workday, Taleo) is highly desirable.
