Core Responsibilities

Primary Functions

  • Assist senior coordinators and project managers in the development and maintenance of comprehensive project documentation, including project plans, schedules, and status reports.
  • Actively monitor project progress against established timelines, tracking key milestones and deliverables to ensure deadlines are consistently met and proactively communicating any potential delays.
  • Facilitate clear and consistent communication across project teams, departments, and external stakeholders by disseminating critical information, updates, and reminders.

  • Maintain and diligently update project management software (e.g., Asana, Jira, Trello) with real-time information on task status, dependencies, and resource allocation.
  • Serve as a central point of contact for incoming inquiries and requests related to specific projects, efficiently directing them to the appropriate team members for resolution.
  • Support the preparation of compelling presentations and insightful reports for project reviews, stakeholder meetings, and executive briefings, ensuring data accuracy and clarity.
  • Manage and organize all project-related files and documentation within a centralized digital repository, ensuring easy access, version control, and data integrity for the entire team.
  • Provide essential administrative support to the project team, including processing crucial paperwork, managing correspondence, and handling complex logistical arrangements.
  • Assist in tracking project expenditures and carefully monitoring budgets, promptly flagging any potential overruns or discrepancies to the Project Manager for review.
  • Liaise professionally with vendors, suppliers, and external partners to coordinate deliverables, obtain quotes, and ensure the timely procurement of necessary goods and services.
  • Participate in the identification and preliminary assessment of project risks and issues, escalating them with clear context to senior team members for mitigation and resolution.
  • Contribute to the quality assurance process by helping to review project deliverables against predefined standards, specifications, and client requirements.
  • Support the successful onboarding of new team members onto projects by providing them with necessary documentation, system access, and a comprehensive overview of project goals.
  • Conduct targeted research on industry best practices, innovative tools, and effective methodologies to support continuous improvement initiatives within the project management office (PMO).
  • Help create and manage resource allocation plans, ensuring that team members' workloads are visible, balanced, and aligned with project priorities.
  • Collate, synthesize, and consolidate feedback from team members and stakeholders at various stages of the project lifecycle to inform future planning and process improvements.
  • Prepare and distribute regular, concise status updates and progress summaries to the project team and key stakeholders to maintain alignment and absolute transparency.
  • Assist in the coordination of project closure activities, including the systematic archiving of documents, finalization of reports, and documenting valuable lessons learned.
  • Develop a thorough, working understanding of the end-to-end project lifecycle and the specific methodologies (e.g., Agile, Waterfall) being utilized by the team.
  • Take ownership of smaller, well-defined project tasks or sub-projects under the guidance of a senior team member to build tangible, hands-on experience and demonstrate capability.
  • Support the creation and maintenance of process flow diagrams and Standard Operating Procedures (SOPs) to streamline recurring project activities.
