Core Responsibilities

Primary Functions

  • Own and manage the end-to-end interview scheduling process for all candidates, expertly navigating and aligning the complex calendars of hiring managers, interview panels, and candidates across multiple departments and time zones.
  • Serve as the primary, high-touch point of contact for candidates throughout the interview lifecycle, providing clear, timely, and professional communication regarding interview status, logistics, and next steps.
  • Meticulously arrange all logistical aspects of the interview process, including booking physical conference rooms, generating and distributing video conference links (e.g., Zoom, Google Meet, MS Teams), and managing on-site arrangements.
  • Coordinate complex travel and accommodation arrangements for out-of-town candidates, ensuring a smooth and stress-free experience from arrival to departure.
  • Prepare and distribute detailed interview packets and schedules to both the candidate and the internal interview team, ensuring everyone is fully prepared and aligned.
  • Act as the gatekeeper for the candidate experience, proactively identifying and resolving any potential scheduling conflicts or logistical issues before they arise.
  • Maintain real-time, high-accuracy data within the Applicant Tracking System (ATS), such as Greenhouse, Lever, or Workday, tracking all candidate activity and status changes meticulously.
  • Greet and host candidates (both virtually and in-person), ensuring they feel welcomed, informed, and comfortable throughout their interview day.
  • Initiate and monitor candidate background checks and reference checks, handling sensitive information with the utmost confidentiality and compliance.
  • Partner closely with recruiters to understand role priorities and pipeline status, providing proactive updates and flagging potential bottlenecks.
  • Champion diversity and inclusion initiatives within the scheduling process, ensuring equitable and unbiased practices are followed.
  • Process candidate expense reimbursements in a timely and accurate manner, providing clear instructions and support to candidates.
  • Manage last-minute scheduling changes with a sense of urgency and a calm, problem-solving approach, minimizing disruption to candidates and interviewers.
  • Collect and track post-interview feedback from the hiring team, gently nudging stakeholders to ensure feedback is submitted promptly within the ATS.

Secondary Functions

  • Support the Talent Acquisition team with various ad-hoc projects, such as coordinating recruiting events, career fairs, and employer branding campaigns.
  • Assist in posting and managing job descriptions across various internal and external job boards, ensuring consistency and accuracy.
  • Help generate and compile basic recruiting reports on key metrics like scheduling volume, time-to-schedule, and candidate survey feedback.
  • Contribute to the continuous improvement of recruiting processes by documenting workflows and suggesting enhancements to improve efficiency and the candidate experience.
  • Collaborate with the broader HR team to support onboarding activities for new hires, ensuring a smooth transition from candidate to employee.
  • Assist in maintaining a library of recruiting resources, templates, and documentation for the team.

  • Calendar Management Mastery: Advanced proficiency in managing complex scheduling across multiple calendars using tools like Google Calendar and Microsoft Outlook.
  • Video Conferencing Fluency: Competence in setting up and troubleshooting video conferencing platforms such as Zoom, Microsoft Teams, and Google Meet.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or equivalent. An Associate's degree is often required.

Preferred Education:

Experience Requirements

Typical Experience Range:
