Core Responsibilities
Primary Functions
- Masterfully coordinate and schedule a high volume of complex interviews (phone, video, and in-person), often across multiple time zones, liaising directly with candidates, hiring managers, and interview panels to ensure a seamless and efficient process.
- Act as the primary point of contact for candidates throughout their interview journey, providing timely updates, answering logistical questions, and ensuring they feel valued and informed at every stage.
- Manage and meticulously maintain the integrity of our Applicant Tracking System (ATS), ensuring all candidate information, job-posting details, and hiring stages are accurate and up-to-date.
- Prepare and post compelling job descriptions across various internal and external job boards, career sites, and professional networking platforms, ensuring brand consistency.
- Conduct initial resume and application screenings to identify candidates who meet the minimum qualifications, providing short-listed profiles to the recruitment team.
- Manage all pre-interview and post-interview communication, including sending interview confirmations, detailed agendas, and follow-up correspondence.
- Facilitate the collection of feedback from interviewers, gently nudging stakeholders to ensure timely submission and helping to drive the hiring process forward.
- Prepare, send, and track employment offer letters and other new hire documentation, ensuring accuracy and compliance with internal protocols.
- Arrange and book candidate travel and accommodations for on-site interviews, managing expense reimbursements and ensuring a comfortable experience.
- Serve as a brand ambassador, championing the company's culture and values in every interaction to create a positive and memorable impression.
- Assist in the creation and maintenance of a talent pipeline by organizing and tagging candidate profiles within the ATS for future opportunities.
- Troubleshoot and resolve any last-minute scheduling conflicts or technical issues that arise during the interview process with a calm and solution-oriented mindset.
Secondary Functions
- Generate and compile regular recruitment activity reports, tracking key metrics such as time-to-fill, source-of-hire, and candidate pipeline status.
- Provide logistical support for recruitment events, such as career fairs, university recruiting drives, and virtual hiring events, including registration, material preparation, and follow-up.
- Collaborate with the broader HR team to support the initial phases of the new hire onboarding process, ensuring a smooth transition from candidate to employee.
- Assist in researching and implementing new recruitment tools and technologies that can enhance process efficiency and candidate experience.
- Participate in process improvement projects aimed at refining and optimizing the talent acquisition workflow and standard operating procedures.
