Core Responsibilities

Primary Functions

  • Manage and maintain the official case files and records for civil, criminal, or family court proceedings, ensuring absolute accuracy, confidentiality, and compliance with all court rules and procedures.
  • Meticulously review legal documents, pleadings, motions, and orders submitted for filing to verify completeness, proper formatting, and adherence to jurisdictional and procedural requirements.
  • Prepare and issue a wide range of official court documents, including summonses, subpoenas, writs, warrants, and judgments, ensuring timely and accurate service to all relevant parties.
  • Operate and manage the court's electronic case management system (e.g., CM/ECF), docketing all case events, filings, and judicial orders with exceptional attention to detail.
  • Serve as a knowledgeable and professional primary point of contact for attorneys, pro se litigants, law enforcement agencies, and the general public, providing procedural information without offering legal advice.
  • Schedule and coordinate complex court hearings, trials, conferences, and other judicial proceedings, proactively managing the judge's calendar to optimize efficiency and resolve scheduling conflicts.
  • Prepare, maintain, and distribute the official court calendar or docket to judicial officers, court staff, and other key stakeholders as required.
  • Assist judges and judicial officers directly in the courtroom during proceedings by managing exhibits, operating courtroom technology, and ensuring the smooth, orderly flow of hearings and trials.
  • Draft routine orders, notices, and correspondence for a judge's review and signature based on established templates and specific judicial direction.
  • Accurately calculate, collect, and process court fees, fines, restitution, and other payments, maintaining precise financial records and performing daily reconciliations.
  • Conduct targeted legal research on procedural matters, statutes, and case law as directed by judicial staff to support case processing and informed decision-making.
  • Proactively monitor case progression to ensure compliance with established timelines and case management standards, identifying and flagging cases that require judicial attention or intervention.
  • Respond to complex and sensitive inquiries from the public and legal community regarding court procedures, case status, and access to records, exercising sound judgment and discretion.
  • Act as a courtroom clerk, administering oaths to witnesses and jurors, marking and tracking exhibits, and creating a detailed, minute-by-minute record of court proceedings and actions taken.
  • Manage the entire jury selection and notification process, from summoning potential jurors and processing their responses to assisting the court with the voir dire process.
  • Ensure the absolute security and integrity of all evidence and exhibits submitted to the court, maintaining a precise and unbroken chain of custody from submission through final disposition.
  • Set up, operate, and monitor audio/visual and digital recording equipment within the courtroom to create a clear and official record of all proceedings.
  • Process and manage appeals, ensuring that the complete record on appeal is properly assembled, certified, and transmitted to the appellate court in a timely manner.
  • Collaborate effectively with other court divisions, government agencies, and justice system partners to coordinate case activities and resolve complex inter-agency issues.
  • Review and process applications for default judgments, writs of execution, and other post-judgment enforcement actions according to strict statutory guidelines and court rules.

Secondary Functions

  • Participate actively in court improvement committees and working groups to enhance procedures and efficiency.
  • Assist in the development, documentation, and updating of procedural manuals and training materials for court staff.
  • Provide training and mentorship to new or junior court personnel on policies, procedures, and case management systems.
  • Support special judicial projects, high-profile cases, or specialized dockets as assigned by court administration.

Required Skills & Competencies

Hard Skills (Technical)

  • Deep proficiency in electronic case management systems (e.g., Tyler Odyssey, CM/ECF).
  • Comprehensive knowledge of legal terminology, court rules, and legal document formats.
  • Competence in legal research using platforms like Westlaw, LexisNexis, or state-specific legal databases.
  • Advanced proficiency in the Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with electronic filing (e-filing) systems and protocols.
  • Ability to operate and troubleshoot courtroom technology, including digital audio recording and video conferencing equipment.

Education & Experience

Educational Background

Minimum Education:

A Bachelor's degree from an accredited college or university.
(Relevant experience may be substituted for a degree on a year-for-year basis in some jurisdictions.)

  • Bachelor's degree in a relevant field of study.
  • A paralegal certificate from an ABA-approved program is highly desirable.
