Core Responsibilities

Primary Functions

  • Meticulously coordinate and monitor all daily domestic and international shipments of finished juice products, managing the entire lifecycle from scheduling carrier pickups to confirming final delivery.
  • Act as the primary operational point of contact for our network of freight carriers, freight forwarders, and third-party logistics (3PL) providers, building and maintaining strong professional relationships.
  • Proactively track and trace all in-transit shipments using TMS and carrier portals, identifying potential delays and communicating status updates to all relevant internal and external stakeholders.
  • Prepare, verify, and distribute all required shipping and receiving documentation, including Bills of Lading (BOL), packing lists, commercial invoices, and proof of delivery (POD) documents.
  • Champion and enforce strict adherence to cold chain logistics protocols, ensuring temperature control and product integrity are maintained for our perishable goods throughout the entire supply chain.
  • Manage the complete order fulfillment process within our ERP system, from accurate order entry and inventory allocation to coordinating with warehouse teams for timely picking, packing, and staging.
  • Continuously analyze transportation data and freight expenditures to identify opportunities for cost reduction, service level improvement, and route optimization.
  • Resolve any transportation or delivery-related issues, such as damages, shortages, or delivery exceptions, by initiating investigations, filing claims, and coordinating effective solutions.
  • Collaborate closely with the sales, customer service, and production planning teams to provide accurate shipping quotes, transit time estimates, and real-time delivery status information.
  • Audit, reconcile, and process freight invoices, diligently disputing discrepancies and ensuring accurate and timely payment to our transportation partners.
  • Utilize our Transportation Management System (TMS) and Enterprise Resource Planning (ERP) software to manage all logistics data, generate performance reports, and maintain system data integrity.
  • Schedule and coordinate the logistics for inbound shipments of raw materials and packaging, ensuring a smooth and timely flow of goods into our production facilities to avoid downtime.
  • Maintain a highly organized and accurate filing system for all logistics activities, transactions, and correspondence to support auditing and compliance requirements.
  • Support the inventory management team by investigating and reconciling discrepancies between physical inventory counts and system records.
  • Communicate critical shipment information, potential disruptions, and service updates to internal departments, including Operations, Sales, and Senior Management.
  • Ensure all logistics operations comply with company policies and all applicable local, state, and federal transportation and safety regulations (e.g., DOT, FDA, FSMA).
  • Evaluate carrier performance against key performance indicators (KPIs) such as on-time pickup/delivery, cost-effectiveness, and service quality, providing feedback for quarterly business reviews.
  • Coordinate the reverse logistics process, managing the return of goods from customers or distribution centers back to the appropriate facility in a timely and cost-effective manner.
  • Negotiate freight rates with carriers for spot shipments and assist the Logistics Manager in annual freight contract negotiations.
  • Assist in the development, documentation, and implementation of Standard Operating Procedures (SOPs) for logistics, shipping, and warehouse processes to drive efficiency and consistency.

Secondary Functions

  • Support the supply chain team with ad-hoc reporting and data analysis on freight costs, carrier performance, and other key logistics metrics.
  • Contribute to continuous improvement projects aimed at optimizing logistics processes, enhancing sustainability, and reducing overall supply chain costs.
  • Collaborate with the procurement team to align inbound material delivery schedules with dynamic production needs and priorities.
  • Participate in periodic physical inventory counts and ongoing cycle count programs to ensure the highest level of inventory accuracy.

Required Skills & Competencies

Hard Skills (Technical)

  • ERP & WMS Proficiency: Hands-on experience with Enterprise Resource Planning (ERP) and Warehouse Management Systems (WMS), such as SAP, NetSuite, Oracle, or similar platforms.
  • Transportation Management Systems (TMS): Demonstrated ability to use TMS software for carrier selection, routing, tracking, and reporting.
  • Advanced Excel Skills: Strong proficiency in Microsoft Excel for data manipulation, pivot tables, v-lookups, and creating reports.
  • Cold Chain Knowledge: Solid understanding of cold chain logistics principles and best practices for managing temperature-sensitive, perishable products.
  • Logistics Documentation: Expertise in handling key shipping documents, including Bills of Lading (BOL), Proof of Delivery (POD), and commercial invoices.
  • Freight Mode Understanding: Knowledge of various transportation modes (LTL, FTL, Parcel, Intermodal) and their associated cost structures.
