Core Responsibilities

Primary Functions

  • Manage the entire lifecycle of the jury selection process, including the generation of master jury lists, summoning, qualifying, and orienting prospective jurors in accordance with statutory requirements.
  • Administer oaths to jurors and witnesses in open court, ensuring all legal formalities are precisely observed during trial proceedings.
  • Serve as the primary point of contact for all jurors, professionally addressing their questions, concerns, and logistical needs while maintaining strict confidentiality and impartiality.
  • Coordinate and facilitate the voir dire process, meticulously tracking peremptory challenges and challenges for cause on behalf of the presiding judge.
  • Safeguard, manage, and maintain a strict chain of custody for all trial exhibits submitted as evidence, from their introduction in court to their final disposition or return.
  • Create and maintain the official, detailed minutes of court proceedings, accurately capturing key events, participant appearances, judicial rulings, and trial timelines.
  • Read verdicts, polling results, and other official documents aloud in open court as directed by the judge, ensuring clarity and procedural correctness.
  • Ensure the security, sequestration, and well-being of deliberating juries, which includes arranging for meals, lodging, and secure transportation as judicially ordered.
  • Prepare the courtroom environment for trial each day, guaranteeing that all necessary supplies, technology, and documents are in place for the judge, counsel, and jury.
  • Assist the presiding judge directly within the courtroom during active trials, anticipating procedural needs and facilitating the smooth, uninterrupted flow of proceedings.
  • Prepare and manage all jury-related documentation, such as juror questionnaires, summonses, payment vouchers, and jury instructions, with a high degree of accuracy.
  • Operate electronic jury management systems and courtroom technology to randomly select panels, manage juror data, and display evidence or exhibits during trial.
  • Process, file, and distribute final judgments, court orders, and verdicts, ensuring they are correctly entered and docketed in the official case management system.

Secondary Functions

  • Collaborate with court security personnel to maintain order, safety, and proper decorum within the courtroom, jury assembly areas, and deliberation rooms.
  • Manage the judge's calendar for trial dates, hearings, and pre-trial conferences related to jury matters, coordinating with all relevant parties.
  • Respond to complex inquiries from attorneys, the public, and other government agencies regarding jury procedures and specific case statuses, providing information while adhering to confidentiality protocols.
  • Generate and analyze statistical reports on jury utilization, juror demographics, and other key performance metrics for court administration review.
  • Assist in the training and onboarding of new courtroom deputies or junior clerks on jury-related protocols, software, and courtroom procedures.
  • Perform cashiering duties as needed, including the collection and recording of court fees and fines, and maintain accurate financial records for the court clerk's office.
  • Handle the procurement of essential supplies for the courtroom and jury services, managing inventory levels and adhering to departmental budgets.
  • Digitize, index, and archive sensitive court records and trial exhibits in strict compliance with official record retention policies and legal mandates.

Required Skills & Competencies

Hard Skills (Technical)

  • Court Management Software: Proficiency in court case management systems such as Odyssey, CM/ECF, or similar proprietary software.
  • Legal Procedures: Deep understanding of legal terminology, courtroom procedures, rules of evidence, and local court rules.
  • Office Suite Mastery: Advanced skills in Microsoft Office Suite (Word, Excel, Outlook) for creating legal documents, managing schedules, and tracking data.
  • Courtroom Technology: Experience operating electronic jury management systems, digital evidence presentation tools, and audio/video recording equipment.
  • Data Entry & Typing: High-speed and highly accurate typing skills (minimum 60 WPM) for real-time minute-taking and data entry.

Education & Experience

Educational Background

Minimum Education:

High School Diploma or GED, supplemented by accredited coursework in paralegal studies, business, or public administration.

Preferred Education:

Associate's or Bachelor's Degree.
