Core Responsibilities
Primary Functions
- Manage the entire juror summons process, including generating, printing, and mailing summonses and questionnaires to prospective jurors sourced from master lists.
- Process and meticulously evaluate juror questionnaire responses, determining qualifications, exemptions, and disqualifications based on statutory requirements and local court rules.
- Respond to a high volume of inquiries from the public, prospective jurors, and employers via telephone, email, and in person, providing clear information about jury duty obligations, deferrals, and excusals.
- Utilize a specialized Jury Management System (JMS) to accurately input, update, and maintain juror data, status, and service history.
- Coordinate and schedule juror service terms, creating and maintaining the calendar for jury selection weeks and assigning jurors to specific reporting dates.
- Prepare, assemble, and distribute jury panels and associated lists for judges, court staff, and attorneys for use during the voir dire (jury selection) process.
- Conduct juror check-in and orientation, providing a welcoming and informative introduction to the courthouse, the jury service process, and their responsibilities.
- Manage the jury assembly room, ensuring a comfortable and orderly environment for jurors while they await assignment to a courtroom.
- Calculate, process, and issue juror payments, mileage reimbursements, and other stipends in a timely and accurate manner.
- Maintain the integrity and randomness of the master juror source lists by coordinating with state and local agencies (e.g., DMV, Voter Registration) for list updates.
- Prepare and send official correspondence, including summons confirmations, deferral and excusal notices, and failure-to-appear or show-cause orders.
- Provide direct courtroom support during the jury selection phase, assisting the courtroom clerk and judge as needed to track juror status and challenges.
- Operate and troubleshoot audio-visual equipment used for juror orientation videos and presentations.
- Handle sensitive and confidential juror information with the utmost discretion and in strict compliance with privacy regulations and court policies.
- Generate and analyze statistical reports on jury utilization, yield, and demographics to support court administration and identify process improvements.
- Assist in developing and updating procedural manuals, juror handbooks, and informational materials to enhance the juror experience.
- Respond to and resolve juror-related issues or emergencies, including medical needs, scheduling conflicts, or security concerns, with professionalism and empathy.
- Certify juror attendance for employers and prepare necessary documentation for jurors to verify their service.
- Maintain and audit all official records related to jury selection, service, and payment, ensuring a clear and accurate paper trail for all proceedings.
- Collaborate closely with judges' chambers, the Clerk of Court's office, and IT staff to ensure seamless integration of jury operations with overall court functions.
