Core Responsibilities
Primary Functions
- Learn and apply federal and local court rules, procedures, and policies pertaining to the comprehensive management of the jury system.
- Perform high-volume, accurate data entry of juror information from returned qualification questionnaires into the court's Jury Management System (JMS).
- Assist in the preparation, printing, folding, and mailing of juror qualification questionnaires and summonses in accordance with strict operational deadlines.
- Respond to a wide range of telephonic, electronic, and in-person inquiries from prospective jurors regarding their service, scheduling conflicts, and requests for postponement or excusal.
- Provide direct support for the maintenance of the master and qualified jury wheels, ensuring the integrity and randomness of the selection process.
- Assist senior technicians with the check-in, orientation, and logistical management of jurors on the day of their service, ensuring a positive and professional experience.
- Support the formal process of impaneling both petit (trial) and grand juries, including the generation of panel lists and coordination with courtroom staff.
- Accurately record juror attendance and service data to prepare and process juror payment vouchers for service stipends and travel reimbursement.
- Scan, index, and electronically file a variety of jury-related documents, correspondence, and forms into the Case Management/Electronic Case Files (CM/ECF) system.
- Maintain the absolute confidentiality of juror personal information, jury deliberations, and other sensitive court-related data.
- Generate and review routine statistical reports on juror utilization, demographic composition, and selection yield rates as directed by the Jury Administrator.
- Provide exceptional and courteous customer service to judges, chambers staff, attorneys, federal agencies, and the general public.
- Assist in preparing the courtroom and jury assembly rooms for jury selection (voir dire), ensuring all necessary materials and equipment are in place.
- Operate and perform basic maintenance on various office machines, such as high-speed scanners, printers, and automated mail processing equipment.
- Reconcile and resolve data discrepancies concerning juror status and information between the Jury Management System and other court records.
- Monitor the juror information telephone line and dedicated email inbox, providing timely, clear, and accurate responses to all inquiries.
- Support the evaluation process for juror requests for excuse or deferral, applying statutory guidelines under the guidance of a senior technician.
- Create and diligently maintain detailed logs and records of communications and actions taken regarding individual prospective jurors.
- Verify juror identity, residency, and eligibility upon their arrival at the courthouse, following established security and check-in protocols.
- Participate actively in ongoing training and professional development programs to build a comprehensive understanding of all facets of federal jury administration.
Secondary Functions
- Assist other clerk's office departments, such as intake or records, during periods of high demand or staff shortages.
- Participate in internal training sessions on court procedures, security protocols, and new software implementations.
