Core Responsibilities

Primary Functions

  • Proactively manage and maintain the complex calendars for attorneys or judicial officers, including scheduling hearings, depositions, trials, and internal meetings, ensuring all deadlines are met.
  • Expertly draft, format, and proofread a wide range of legal documents, including pleadings, motions, subpoenas, discovery requests, and correspondence, ensuring strict adherence to legal standards and court-specific formatting rules.
  • Serve as the primary liaison between attorneys, clients, opposing counsel, and court personnel, handling communications with professionalism, discretion, and a high level of customer service.
  • Meticulously manage the electronic and physical filing of all legal documents, pleadings, and correspondence to ensure compliance with court rules and immediate accessibility for legal teams.
  • Conduct comprehensive legal and factual research using online databases like Westlaw and LexisNexis to locate relevant case law, statutes, and public records, synthesizing findings into clear summaries.
  • Systematically organize and prepare detailed trial binders, exhibit lists, and witness files to provide attorneys with immediate access to critical information during court proceedings.
  • Assist in all phases of discovery by organizing documents, tracking production, preparing deposition summaries, and managing discovery-related deadlines.
  • Handle the electronic filing (e-filing) of legal documents with state and federal courts, staying current with the specific procedures and technical requirements of various court systems.
  • Coordinate and manage logistical arrangements for depositions, mediations, and trials, including scheduling court reporters, videographers, and conference rooms.
  • Accurately maintain and update case management software with critical information, deadlines, and status updates to ensure data integrity and facilitate team collaboration.
  • Prepare and process expense reports, client billing statements, and legal invoices, ensuring accuracy and timely submission.
  • Transcribe dictation, meeting notes, and other audio recordings into well-formatted, accurate written documents.
  • Receive, screen, and prioritize incoming mail, emails, and phone calls, exercising sound judgment to escalate urgent matters and respond to routine inquiries.
  • Open new client matters, perform conflict checks, and prepare engagement letters in accordance with firm or departmental procedures.
  • Maintain an organized and up-to-date directory of contacts, including clients, courts, and external vendors.
  • Assist attorneys in preparing for client meetings and presentations by compiling necessary documents and background information.
  • Manage case files from inception through to closing, ensuring all final documents are properly executed, filed, and archived.
