Core Responsibilities
Primary Functions
- Manage the judge's complex calendar, including scheduling hearings, trials, motions, settlement conferences, and other court proceedings with precision.
- Prepare, proofread, and distribute the daily and weekly court dockets, ensuring accuracy and timely communication to all relevant parties.
- Process, scan, and electronically file a high volume of legal documents, pleadings, motions, and orders into the court's official case management system.

- Act as the primary point of contact for the judge's chambers, professionally handling inquiries from attorneys, pro se litigants, law enforcement, and the general public.

- Set up, test, and manage courtroom technology and audiovisual equipment for remote hearings, trials, and evidence presentation.
- Attend court proceedings to record and maintain accurate, detailed minutes, documenting all key events, appearances, and rulings.
- Administer oaths to witnesses, interpreters, and jurors, ensuring proper legal formalities are observed in the courtroom.
- Manage the orderly flow and marking of physical and digital exhibits during trials and evidentiary hearings, maintaining a precise exhibit list.
- Uphold the absolute integrity and confidentiality of the official case record, both electronic and physical, throughout the case lifecycle.

- Coordinate and communicate effectively with other court departments, including security, court reporting, jury services, and the probation office, to ensure smooth operations.
- Provide administrative support for the jury selection and management process, including preparing summonses and managing juror attendance and inquiries.
- Accurately process and record the collection of court fees, fines, and restitution payments, and assist with reconciling financial records.
- Conduct basic legal and procedural research at the direction of the Judge or Senior Clerk to support judicial decision-making.
- Perform a final quality control review on all outgoing judicial orders and notices to ensure they are free of clerical errors.
- Prepare and issue various legal writs, warrants, and subpoenas in accordance with judicial direction and established legal procedures.
- Organize, maintain, and archive comprehensive case files from initiation to final disposition, adhering to official record retention schedules.
- Generate statistical reports on caseloads, dispositions, and other key court performance metrics as requested by court administration.
- Ensure seamless and professional communication between the judge’s chambers, court staff, attorneys, and external agencies.
