Core Responsibilities

Primary Functions

  • Masterfully manage and maintain the Justice Director’s highly complex and dynamic calendar, requiring seamless coordination of appointments, meetings, and engagements across multiple time zones.
  • Act as a trusted gatekeeper, expertly screening and prioritizing the Director’s incoming calls, correspondence, and meeting requests to optimize their time and focus.

  • Skillfully coordinate all aspects of internal and external meetings, from securing venues and managing attendee lists to preparing comprehensive agendas, presentations, and briefing materials.
  • Diligently record, transcribe, and distribute detailed minutes for key departmental and stakeholder meetings, tracking action items to ensure follow-through.
  • Process and reconcile expense reports, manage departmental credit cards, and assist in monitoring the departmental budget to ensure alignment with financial allocations.
  • Serve as the primary liaison between the Justice Director's office and internal departments, external legal counsel, government agencies, community partners, and other key stakeholders.
  • Develop and maintain a sophisticated and logical filing system for critical physical and electronic documents, ensuring quick and efficient retrieval of information.
  • Conduct preliminary research on legal precedents, statutes, and policy issues as directed, summarizing findings for the Director's review.
  • Proactively anticipate the Director's needs by preparing necessary materials and information in advance of meetings, presentations, and deadlines.
  • Provide comprehensive project management support for special initiatives, tracking timelines, deliverables, and milestones to ensure successful project completion.
  • Prepare compelling and visually engaging PowerPoint presentations and other communication materials for a variety of audiences, from internal staff to external boards.
  • Manage the administrative aspects of the litigation or case management process, including organizing case files, tracking deadlines, and coordinating with outside counsel.

Secondary Functions

  • Assist in the development, revision, and implementation of internal departmental policies, workflows, and operational procedures to enhance efficiency.
  • Support grant management activities, including compiling necessary documentation for proposals, tracking reporting deadlines, and maintaining grant-related records.
  • Monitor relevant legislative changes, court rulings, and industry news, providing concise updates and summaries to the Director and the broader team.
