Core Responsibilities

Primary Functions

  • Meticulously prepare, proofread, and cite-check judicial orders, opinions, and memoranda drafted by the law clerk or judge, ensuring absolute accuracy and adherence to court standards.
  • Manage the judge’s complex calendar, scheduling hearings, trials, conferences, and meetings while deconflicting with attorneys, staff, and other parties.
  • Serve as the primary point of contact for the chambers, professionally screening telephone calls, correspondence, and visitors, and directing inquiries to the appropriate personnel.
  • Maintain and organize voluminous case files, both electronically through the Case Management/Electronic Case Files (CM/ECF) system and in physical format, ensuring all documents are filed correctly and are readily accessible.
  • Draft routine orders, notices, and official correspondence on behalf of the judge or law clerk for review and final approval.
  • Monitor case dockets and filing deadlines vigilantly, providing timely reminders to the law clerk and judge to ensure the efficient progression of all pending matters.
  • Conduct preliminary legal and factual research using Westlaw, LexisNexis, and other legal research tools to support the work of the law clerks.
  • Prepare and assemble bench copies, case materials, and all necessary documentation for hearings, trials, and other court proceedings.
  • Assist in the final preparation and electronic publication of the judge's written opinions, ensuring formatting and citations are flawless.
  • Handle highly sensitive and confidential information with the utmost discretion and integrity, maintaining the confidentiality of the chambers at all times.
  • Coordinate and process travel arrangements and complete expense reimbursements for the judge and law clerks in accordance with established court policies.
  • Act as a liaison between the judge’s chambers and other court departments, the clerk's office, federal agencies, and attorneys' offices to facilitate communication and resolve procedural issues.
  • Prepare and distribute daily and weekly case lists, calendars, and summaries of filings to keep the judge and clerks fully informed.
  • Open new cases, perform quality control on attorney filings, and manage the complete lifecycle of case files from opening to closing and archiving.
  • Train and mentor legal interns or new administrative staff on chamber-specific procedures, protocols, and software systems.

Secondary Functions

  • Support ad-hoc data requests and exploratory analysis related to caseloads, motion pendency, and other judicial metrics.
  • Contribute to the organization's knowledge management by maintaining and updating procedural manuals and internal resource guides for the chambers.
  • Collaborate with the court's IT department to troubleshoot minor technical issues with courtroom technology, computers, and software.
  • Participate in court-wide committees or working groups focused on improving administrative procedures or implementing new technologies.
  • Manage the inventory and procurement of office supplies, equipment, and law library materials for the judge's chambers.

Required Skills & Competencies

Hard Skills (Technical)

  • Advanced Proficiency in CM/ECF: Deep, practical knowledge of the Case Management/Electronic Case Files system for filing, retrieving, and docketing.
  • Legal Research Platforms: Demonstrable skill in navigating and conducting research on Westlaw and/or LexisNexis.
  • Expert-Level Microsoft Office Suite: Mastery of Word (including styles and tables of authorities), Outlook (for complex calendaring), and Excel.
