Core Responsibilities

Primary Functions

  • Prepare, format, and file a wide range of legal documents, such as pleadings, motions, subpoenas, and discovery requests, ensuring strict adherence to court-specific rules and deadlines.
  • Manage and maintain complex and voluminous case files, both in physical and digital formats, by systematically organizing documents, correspondence, evidence, and other critical materials.
  • Conduct thorough legal and factual research using online databases like Westlaw, LexisNexis, and public record sources to gather supporting information for cases and legal arguments.
  • Act as a primary liaison, professionally handling communications with clients, opposing counsel, court personnel, witnesses, and government agencies to schedule meetings, depositions, and hearings.
  • Draft, proofread, and edit routine legal correspondence, memoranda, reports, and case summaries under the supervision of a justice specialist or attorney.
  • Assist in the discovery process by organizing, Bates-stamping, and redacting documents, as well as preparing responses to interrogatories and requests for production.
  • Maintain and meticulously update internal case management systems and databases with current case information, deadlines, and status updates to ensure data integrity.
  • Coordinate the service of legal documents on all relevant parties, tracking and confirming successful delivery in accordance with legal procedures.
  • Provide direct support during trial preparation, including assembling trial binders, organizing exhibits, and coordinating witness schedules and logistics.
  • Monitor dockets and calendars to track critical deadlines for filings, court appearances, and other legal proceedings, proactively alerting the team to upcoming events.
  • Handle the intake of new cases or clients by gathering initial information, performing conflict checks, and preparing new case files for review.
  • Assist in processing and managing financial transactions related to cases, such as client billing, court filing fees, and vendor invoices.
  • Schedule and coordinate travel arrangements, meetings, and conference calls for legal staff, ensuring all logistical details are handled efficiently.
  • Transcribe dictation, meeting notes, and other audio recordings into well-formatted written documents for the case record.
  • Prepare and organize materials for client meetings, depositions, and mediations, ensuring all necessary documentation is available and in order.

Secondary Functions

  • Support the team by pulling and compiling data for regular and ad-hoc reports on caseloads, case statuses, and other key performance indicators.
  • Assist in the maintenance and updating of legal form libraries and templates to ensure they reflect current laws and procedural rules.
