Core Responsibilities

Primary Functions

  • Provide comprehensive administrative and clerical support to a team of attorneys or senior justice specialists, including managing calendars, scheduling appointments, and coordinating meetings.
  • Assist in the complete lifecycle of case management, from initial client intake and conflict checks to case closure, ensuring all procedural steps are meticulously followed.
  • Conduct foundational legal and factual research using online databases such as Westlaw, LexisNexis, and public records portals to support case development and legal arguments.
  • Draft, format, and proofread a variety of legal documents and correspondence under supervision, including pleadings, motions, affidavits, subpoenas, and client communications.
  • Organize and maintain extensive physical and digital case files, ensuring all documents are properly filed, indexed, and readily accessible in the document management system.
  • Prepare and assemble binders, exhibits, and other necessary materials for depositions, hearings, mediations, and trials, ensuring attorneys have all required information organized.
  • Serve as a reliable point of contact for clients, providing status updates, gathering necessary information, and answering non-legal procedural questions with professionalism and empathy.
  • Communicate effectively with court personnel, opposing counsel's office, and external agencies to schedule proceedings, file documents, and obtain case-related information.
  • Review and summarize large volumes of documents, such as medical records, deposition transcripts, and financial statements, to identify key information and create concise summaries.
  • Utilize electronic filing systems (e-filing) to submit legal documents to state and federal courts, ensuring compliance with all local rules and formatting requirements.
  • Track and manage all case-related deadlines, statutes of limitation, and court-mandated dates through a centralized calendaring system to prevent any lapses.
  • Assist with the discovery process by helping to prepare and send discovery requests, and by organizing, reviewing, and logging incoming discovery responses from other parties.
  • Handle sensitive and confidential information with the utmost discretion and integrity, adhering strictly to professional ethics and data privacy protocols.
  • Support the client billing process by accurately recording billable hours for specific tasks and assisting with the preparation of invoices or financial reports.
  • Observe and participate in client meetings, depositions, and court proceedings to gain practical experience and a deeper understanding of the legal process.
  • Perform initial interviews and intake with potential clients to gather essential facts and details about their situation for review by a supervising attorney.
  • Help maintain the team's legal library and reference materials, both physical and digital, ensuring resources are current and organized.
  • Coordinate with process servers, court reporters, expert witnesses, and other vendors to arrange for services required for case progression.
  • Transcribe dictated notes, interviews, and other audio recordings into written format for inclusion in the case file or as part of document preparation.
