Core Responsibilities
Primary Functions
- Accurately prepare, process, and maintain a wide variety of complex legal documents, court records, and official case files, ensuring strict compliance with established legal procedures, codes, and deadlines.
- Conduct comprehensive searches of automated and manual record-keeping systems to retrieve, verify, and disseminate sensitive case information to authorized personnel, including law enforcement, attorneys, and court staff.
- Respond to complex inquiries from the public, legal professionals, and government agencies regarding case status, court procedures, filing requirements, and records requests, providing clear and accurate information both verbally and in writing.
- Perform high-volume, complex data entry, inputting and meticulously updating case information, dispositions, warrants, and judicial orders into criminal justice information systems (CJIS) with an exceptional degree of accuracy.
- Receive, screen, and electronically file legal correspondence, motions, and petitions, accurately docketing events and scheduling hearings in accordance with court calendars and judicial availability.
- Review incoming legal documents for completeness, conformity to court rules, and accuracy before acceptance for filing, and return documents that do not comply with established policies.
- Issue and process legal notifications, summonses, subpoenas, warrants, and other official court orders, ensuring proper and timely service according to legal statutes.
- Assist the public and legal community at the front counter and over the phone, explaining court processes and procedures without providing legal advice.
- Prepare and maintain the official court dockets and calendars, coordinating with judicial staff to ensure all case files and necessary documents are prepared for court proceedings.
- Manage and maintain the integrity of physical and digital case files, including archiving, retrieval, and proper disposal in accordance with records retention schedules.
- Calculate and collect court-ordered fees, fines, restitution, and bail payments, issuing receipts and maintaining accurate financial records for reconciliation.
- Operate multi-line telephone systems, directing calls to the appropriate personnel and providing information to callers in a professional and courteous manner.
- Certify copies of official court documents and records for use in legal proceedings and for requests from the public and other agencies.
- Process and distribute incoming and outgoing mail, including certified and registered mail, ensuring it is routed to the correct department or individual in a timely manner.
- Update and maintain databases of case parties, attorneys, and other relevant contacts, ensuring all information is current and accurate.
- Transcribe court proceedings or other legal meetings from audio recordings, producing accurate and formatted written documents.
Secondary Functions
- Assist in the training and onboarding of new technical staff on departmental procedures, software systems, and best practices.
