Core Responsibilities

Primary Functions

  • Serve as the primary point of contact for all prospective residents, managing inquiries via phone, email, and walk-in visits with a high degree of professionalism and enthusiasm.
  • Conduct dynamic and personalized tours of the community, masterfully showcasing model apartments, amenities, and the unique lifestyle benefits of the property to create a memorable experience.
  • Expertly guide prospects through the entire leasing lifecycle, from the initial application and screening process to the final lease signing and seamless move-in coordination.
  • Develop and maintain a strong closing ratio by artfully overcoming objections, creating a sense of urgency, and effectively communicating the community's unique value proposition.
  • Maintain a consistent and proactive follow-up schedule with all leads and prospects using a CRM system to nurture relationships and maximize conversions.
  • Process rental applications meticulously, verifying all information, performing credit and background screenings, and ensuring all required documentation is complete and accurate per company policy.
  • Prepare and execute legally sound lease agreements and all associated addenda, ensuring new residents fully comprehend the terms and conditions of their tenancy.
  • Strive to meet and exceed established leasing and occupancy goals, including performance targets for new leases, renewals, and closing ratios as set by management.
  • Build and maintain strong, positive relationships with current residents to foster a welcoming community atmosphere, which in turn generates positive online reviews and resident referrals.
  • Support the lease renewal program by proactively engaging with residents, presenting renewal options, and negotiating terms to achieve high resident retention rates.
  • Inspect apartments prior to move-in to confirm they meet the company's quality standards and are perfectly prepared for the new resident's arrival.

Secondary Functions

  • Actively participate in community marketing efforts, including outreach marketing to local businesses, helping manage social media profiles, and contributing creative ideas for promotions.
  • Conduct regular market surveys and competitor analysis to maintain a comprehensive knowledge of local market trends, pricing strategies, and available concessions.
  • Ensure the entire tour path, model apartments, common areas, and the leasing office are impeccably clean, well-organized, and "show-ready" at all times.
  • Assist in the planning, promotion, and execution of resident social events and community-building activities designed to enhance resident satisfaction and foster a sense of belonging.
  • Address current resident inquiries and concerns promptly and courteously, acting as a helpful resource and escalating complex issues to the Property Manager when necessary.
  • Coordinate with the maintenance team to ensure that vacant apartments are turned over and made ready for new move-ins in a timely and high-quality fashion.
  • Accurately enter and meticulously maintain all prospect, applicant, and resident data within the designated property management software (e.g., Yardi, Entrata).
  • Uphold a thorough understanding of and strict adherence to all local, state, and federal Fair Housing laws and regulations.
  • Handle various administrative duties such as preparing daily or weekly reports on leasing traffic, filing lease documents, and managing office inventory.
  • Collect and process application fees, security deposits, and initial rent payments, ensuring all funds are properly recorded in accordance with accounting procedures.

Required Skills & Competencies

Hard Skills (Technical)

  • Property Management Software: Proficiency in industry-standard software such as Yardi, RealPage, Entrata, or AppFolio.
  • Fair Housing Knowledge: Solid understanding of Fair Housing laws and landlord-tenant regulations to ensure compliance.
  • Lease Administration: Ability to read, interpret, and accurately prepare legal lease agreements and related documents.
  • CRM & Lead Management: Experience using Customer Relationship Management (CRM) systems to track and nurture leads effectively.
  • MS Office Suite: Competency in Microsoft Word, Excel, and Outlook for communication, reporting, and administrative tasks.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or GED is required.

Preferred Education:

  • Associate's or Bachelor's Degree.

Experience Requirements

Typical Experience Range:

  • 1-3 years of experience in a role with direct customer-facing sales and/or customer service responsibilities.

Preferred:

  • 1+ years of direct experience as a Leasing Consultant in residential property management is highly desirable. Experience with luxury or Class-A properties is a significant plus.
