Core Responsibilities

Primary Functions

  • Actively manage the complete leasing lifecycle, from the initial prospect inquiry and diligent lead nurturing through to property tours, application processing, and final lease execution, ensuring a seamless and positive experience.
  • Conduct engaging and personalized tours of the community, including model apartments, vacant units, and all amenities, skillfully showcasing the unique value proposition and lifestyle benefits to align with the needs of prospective residents.
  • Maintain an expert-level knowledge of the property, its various floor plans, current pricing and specials, amenities, and the surrounding neighborhood to confidently address all questions and overcome potential objections.
  • Meticulously and promptly follow up with all prospective residents through phone calls, personalized emails, and text messages, utilizing CRM software to accurately track all interactions and guide prospects through the sales funnel.
  • Process rental applications thoroughly by verifying applicant information, including income, credit history, background checks, and rental references, ensuring full compliance with company policies and fair housing guidelines.
  • Prepare comprehensive lease agreements and all associated move-in paperwork with a high degree of accuracy, and conduct detailed lease signing appointments to review all documents with new residents.
  • Achieve and consistently exceed monthly leasing goals, closing ratios, and occupancy targets through proactive outreach, effective sales strategies, and a commitment to building a robust pipeline of qualified leads.
  • Build and maintain strong, trusting relationships with current residents to encourage lease renewals, foster a positive community atmosphere, and generate resident referrals.
  • Respond to all incoming leads from various sources (e.g., internet listing sites, walk-ins, phone calls) in a timely and professional manner, aiming to convert every inquiry into a scheduled property visit.
  • Professionally present the community and apartments to prospective residents, effectively communicating features and benefits that appeal to their specific lifestyle needs.
  • Generate and manage traffic, qualify prospective residents, and close leases by leveraging proven sales techniques and a customer-focused approach.
  • Walk the tour route and show units daily to ensure they are in pristine, show-ready condition, reporting any maintenance or cleaning needs to the appropriate team members.
  • Greet all prospective and current residents warmly as they enter the leasing office, setting a positive and welcoming tone for every interaction.
  • Maintain a deep understanding of market trends and competitor properties by conducting market surveys and physically shopping competing communities to better position our property's value.

Secondary Functions

  • Assist in the development and execution of marketing strategies to attract new residents, including creating engaging content for social media, updating online listings, and distributing marketing materials.
  • Contribute to maintaining the property's "curb appeal" by inspecting the tour path, model apartments, and common areas daily to ensure they are immaculate and presentable.
  • Support the planning and execution of resident events and social activities designed to foster community engagement and improve resident retention.
  • Perform daily administrative duties such as answering phones, managing resident communications, sorting mail, and maintaining organized and compliant physical and digital resident files.
  • Accurately record all traffic and leasing activity in the property management software and prepare regular leasing and traffic reports for the Property Manager.
  • Assist with the move-in process by coordinating with maintenance staff, conducting pre-move-in inspections, and ensuring new residents have a smooth and welcoming experience on their first day.
  • Address and help resolve resident concerns and service requests promptly and courteously, escalating issues to the Assistant or Property Manager when necessary.

Required Skills & Competencies

Hard Skills (Technical)

  • Property Management Software: Proficiency in industry-standard software such as Yardi, Entrata, RealPage, or AppFolio for managing leases, resident data, and reporting.
  • Fair Housing Knowledge: A solid understanding of federal, state, and local Fair Housing laws and landlord-tenant regulations to ensure compliance in all interactions.
  • CRM Systems: Experience using Customer Relationship Management (CRM) tools for effective lead tracking, communication logging, and sales pipeline management.
  • MS Office Suite: Competency in Microsoft Word, Excel, and Outlook for creating reports, tracking data, and professional communication.
  • Digital Marketing Savvy: Familiarity with managing and posting to online Internet Listing Services (ILS), social media platforms, and other digital marketing channels.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or GED equivalent is required.

Preferred Education:

  • Associate's or Bachelor's Degree.

Experience Requirements

Typical Experience Range:

  • 1-3 years of experience in a role with direct customer interaction, such as leasing, sales, retail, or hospitality.

Preferred:

  • 1+ years of direct experience as a Leasing Consultant in residential property management is highly desirable. Experience working in a commission-based or goal-oriented sales environment is a significant plus. National Apartment Leasing Professional (NALP) credential is a bonus.
