Primary Functions

- Transcribe legal dictation, meeting notes, and other recordings into professionally formatted legal memoranda, correspondence, and court documents.
- Accurately maintain the firm's master docket and calendaring system, tracking all deadlines for pleadings, discovery, and other time-sensitive legal actions to prevent malpractice risks.
- Prepare and assemble comprehensive trial notebooks, exhibit lists, and witness binders, ensuring all materials are meticulously organized and ready for court proceedings.
- Serve as a professional and courteous point of contact, communicating effectively with clients, opposing counsel, court personnel, vendors, and expert witnesses via phone, email, and in person.
- Execute the new client intake process, including the preparation of engagement letters, collection of initial information, and conducting thorough conflict-of-interest checks.
- Assist attorneys and paralegals with the preparation and formatting of discovery responses, including interrogatories, requests for production of documents, and requests for admissions.
- Diligently manage attorney time entry using legal billing software and assist the accounting department with the review, editing, and distribution of monthly client invoices.
- Coordinate and book complex domestic and international travel arrangements, accommodations, and ground transportation for attorneys, clients, and witnesses.
- Open, sort, and distribute incoming mail, faxes, and courier deliveries with a sense of urgency, and prepare and process all outgoing correspondence.
- Prepare, submit, and track attorney expense reports, ensuring compliance with firm policies and timely reimbursement.
- Answer and screen calls on a multi-line phone system, providing information to callers or routing calls to the appropriate team member with professionalism and discretion.
