Core Responsibilities

Primary Functions

A successful Lettings Manager is expected to perform the following duties with a high degree of autonomy and professionalism:

  • Drive the financial performance of the lettings department by setting and achieving ambitious revenue targets, managing the P&L, and controlling operational costs.
  • Actively generate new business by identifying and acquiring new landlords and properties through various methods including networking, marketing, and direct outreach.
  • Conduct accurate and compelling market appraisals (valuations) for residential properties, providing landlords with expert advice on pricing and presentation to maximize rental income.
  • Lead, manage, and mentor a team of lettings negotiators, conducting regular performance reviews, setting KPIs, and providing ongoing training and professional development.
  • Oversee the entire lettings lifecycle, from initial property listing and marketing through to tenant move-in, ensuring a seamless and positive experience for all parties.
  • Develop and implement innovative marketing strategies for listed properties, utilizing online portals, social media, and traditional advertising to attract a wide pool of qualified tenants.
  • Build and maintain strong, long-term relationships with landlords, acting as their primary point of contact and providing them with regular updates and strategic advice on their portfolio.
  • Ensure the department operates in full compliance with all relevant lettings legislation and industry regulations, including the Housing Act, ARLA Propertymark guidelines, and deposit protection schemes.
  • Personally handle and resolve complex or escalated negotiations, disputes, and complaints from landlords or tenants in a timely and professional manner.
  • Monitor local market trends, competitor activity, and legislative changes to proactively adapt the department's strategy and maintain a competitive edge.
  • Manage the tenant referencing and application process, ensuring all due diligence is thoroughly completed to secure high-quality, reliable tenants for landlords.
  • Negotiate tenancy renewals to retain existing business, securing favorable terms for landlords while ensuring fairness for tenants.
  • Prepare and review tenancy agreements and other legal documentation, ensuring accuracy and full legal compliance before execution.
  • Work collaboratively with the property management department to ensure a smooth handover of managed properties and a consistent level of service post-tenancy commencement.
  • Chair regular team meetings to communicate targets, share successes, discuss challenges, and foster a collaborative and motivated team culture.
  • Oversee the department's property portfolio, ensuring low vacancy rates and minimal void periods through proactive marketing and efficient processes.
  • Represent the company at industry events, landlord evenings, and community functions to enhance the brand's profile and generate new leads.
  • Prepare and present regular performance reports to senior management or company directors, detailing key metrics, successes, and areas for improvement.
  • Ensure the team's effective use of the company’s CRM and other software systems for accurate record-keeping and efficient workflow management.
  • Champion exceptional customer service standards across the department, leading by example and embedding a client-first mindset within the team.

Required Skills & Competencies

Hard Skills (Technical)

  • ARLA Propertymark Qualification: Level 3 or 4 is highly desirable, demonstrating a strong grasp of industry best practices and legal requirements.
  • In-depth Legal Knowledge: Comprehensive understanding of UK lettings legislation, including tenancy agreements, deposit schemes, eviction procedures, and safety regulations.
  • Property Valuation/Appraisal: Proven ability to accurately value residential properties for the rental market.
  • Business Development: Demonstrable skill in prospecting, networking, and closing deals to win new landlord instructions.
  • Lettings CRM Software: Proficiency in using industry-specific software such as Reapit, Jupix, Veco, or similar platforms.

  • Driving Licence: A full, clean UK driving licence is typically essential for conducting valuations and property visits.
