Core Responsibilities

Primary Functions

  • Manage the entire lifecycle of software and hardware licenses, from procurement and deployment to renewal, reclamation, and retirement, ensuring accurate tracking in our asset management system.
  • Maintain a definitive and highly accurate inventory of all software entitlements, contracts, and proofs of purchase to serve as the single source of truth for licensing information.
  • Conduct regular internal audits and reconciliations of license entitlements against deployment and usage data to ensure ongoing compliance with vendor agreements.
  • Proactively identify, report on, and remediate areas of license non-compliance to avoid financial penalties and legal exposure.
  • Analyze software usage data from various discovery tools to identify opportunities for cost savings, such as harvesting unused licenses or transitioning to more cost-effective license models.
  • Lead the preparation for and response to external software vendor audits, acting as the primary point of contact and coordinating the collection of necessary data and documentation.
  • Serve as the subject matter expert and primary point of contact for all licensing-related inquiries from business units, IT teams, and management.
  • Interpret complex software licensing agreements, terms of service (TOS), and product use rights (PURs) to provide clear guidance and ensure correct application.
  • Support procurement and business units by providing expert advice on the licensing implications and costs associated with new software requests and technology projects.
  • Process and validate software purchase requests, ensuring they align with existing standards, entitlements, and budget constraints before fulfillment.
  • Engage directly with software vendors and resellers to negotiate favorable terms for new purchases, renewals, and true-up events.
  • Develop and maintain strong relationships with key software vendors to stay informed about licensing changes, product roadmaps, and compliance programs.
  • Track and manage maintenance and support renewals, providing stakeholders with ample notice and recommendations to ensure business continuity.
  • Assist in forecasting and budgeting for software expenditures, providing data-driven insights to help predict future needs and costs.
  • Document and maintain internal processes and procedures related to software asset management, licensing requests, and compliance verification.
  • Provide training and guidance to IT and business personnel on licensing policies and best practices to foster a culture of compliance.
  • Evaluate and compare different licensing models (e.g., perpetual, subscription, user-based, capacity-based) to recommend the most strategic and cost-effective option for the business.

Secondary Functions

  • Assist in the development, implementation, and enforcement of corporate-wide IT asset management (ITAM) policies and standards.
  • Generate and present regular and ad-hoc reports to management detailing license compliance status, risk exposure, cost-saving initiatives, and key performance indicators.

Required Skills & Competencies

Hard Skills (Technical)

  • Software Asset Management (SAM) Tools: Advanced proficiency in using SAM platforms such as Flexera, Snow License Manager, ServiceNow SAM Pro, or similar enterprise-grade systems.
  • Contract Analysis & Interpretation: Deep ability to read, understand, and dissect complex legal language within software license agreements and vendor contracts.
  • Data Analysis & Reporting: Strong skills in data manipulation, analysis, and visualization using tools like Microsoft Excel (PivotTables, VLOOKUPs), Power BI, or Tableau to derive actionable insights.
  • Vendor Licensing Expertise: In-depth knowledge of the licensing models, metrics, and rules for major software publishers like Microsoft, Oracle, Adobe, VMware, Salesforce, and IBM.
  • IT Asset Management (ITAM) Principles: Solid understanding of the ITAM and ITIL frameworks and how they apply to the lifecycle of technology assets.
  • Discovery Tool Knowledge: Familiarity with IT discovery and inventory tools (e.g., SCCM/MECM, BigFix, Lansweeper) and the data they provide.
  • Procurement & Negotiation: Experience in IT procurement processes and a demonstrated ability to participate in or support contract negotiations.

Educational Background

Minimum Education:

  • Certifications such as Certified Software Asset Manager (CSAM), Certified IT Asset Manager (CITAM), or vendor-specific licensing certifications are highly desirable.
