Core Responsibilities

Primary Functions

  • Meticulously review and process residential, commercial, or consumer loan applications, verifying completeness and accuracy of all submitted information and documentation.
  • Act as the primary liaison between loan officers, underwriters, borrowers, and third-party vendors (such as appraisers, title companies, and insurance agents) to ensure seamless communication and timely file progression.
  • Perform comprehensive pre-closing audits on loan files to ensure all underwriting conditions have been met and the file is in compliance with all federal, state, and internal lending regulations (including TRID, RESPA, HMDA, and Fair Lending).
  • Prepare and generate accurate loan documentation and closing packages, including the Closing Disclosure (CD), ensuring all figures are correctly calculated and disclosed within regulatory timeframes.
  • Coordinate loan closing schedules with all relevant parties, ensuring a smooth and timely closing experience for the borrower.
  • Execute the funding of loans by initiating wire transfers and disbursing funds in accordance with the approved settlement statement.
  • Manage the post-closing process, which includes reviewing executed closing documents for accuracy, shipping files to investors, and ensuring the timely recording of mortgages and deeds.
  • Onboard new loans onto the bank's core servicing system, verifying that all data points, such as loan amount, interest rate, payment schedule, and escrow information, are entered correctly.
  • Handle a variety of loan servicing tasks, including payment processing, escrow analysis and administration, tax and insurance monitoring, and processing payoff requests.
  • Address and resolve complex customer service inquiries related to loan payments, escrow accounts, loan modifications, and other servicing matters with professionalism and empathy.
  • Conduct regular quality control reviews on a sample of loan files to identify and report on trends, discrepancies, and potential compliance issues.
  • Manage and clear a pipeline of pending loan conditions, proactively following up on outstanding items to avoid delays in the lending process.
  • Interpret and apply complex investor and agency guidelines (e.g., Fannie Mae, Freddie Mac, FHA, VA) to ensure loan salability and compliance.
  • Process loan modifications, extensions, and forbearance agreements, ensuring all necessary documentation is completed and system changes are accurately reflected.
  • Prepare and file Uniform Commercial Code (UCC) financing statements, continuations, and terminations for commercial loans to perfect the institution's security interest.
  • Assist in the remediation of any post-closing or audit findings by gathering necessary documentation and making required corrections to loan files.
  • Generate and analyze various operational reports, such as pipeline reports, turn-time reports, and exception reports, to help management monitor productivity and identify bottlenecks.
  • Participate in system testing and validation for updates or conversions of the Loan Origination System (LOS) or core servicing platforms.
  • Maintain a deep and current knowledge of the evolving lending compliance landscape, attending regular training to stay informed on new regulations and procedural changes.
  • Manage collateral perfection and release processes, including tracking original notes, recording liens, and releasing titles upon loan satisfaction.

Secondary Functions

  • Support ad-hoc data requests and exploratory data analysis to assist management with strategic decisions.
  • Contribute to the development and maintenance of departmental procedures, job aids, and training materials.
  • Collaborate with business units to translate data needs into engineering and reporting requirements.
  • Participate in sprint planning and agile ceremonies if the operations team utilizes an agile methodology for project management.
  • Assist with internal and external audit preparations by gathering requested loan files and documentation.

Required Skills & Competencies

Hard Skills (Technical)

  • Loan Origination Software (LOS): Deep proficiency in at least one major LOS platform, such as Encompass, Calyx Point, or similar proprietary systems.
  • Regulatory Knowledge: Comprehensive understanding of federal and state lending regulations, including TRID, RESPA, HMDA, ECOA, and TILA.
  • Document Analysis: Skill in reviewing and interpreting complex financial documents, including tax returns, pay stubs, bank statements, and credit reports.
  • Microsoft Excel: Advanced Excel skills for data manipulation, reporting, and analysis (VLOOKUP, pivot tables, formulas).
  • Core Banking/Servicing Systems: Experience with core processing and loan servicing platforms (e.g., Fiserv, Jack Henry).
  • Title and Escrow Principles: Solid understanding of the title insurance and escrow process, including reviewing title commitments and settlement statements.
  • Loan Documentation: Expertise in generating and reviewing standard loan documents for various loan types.
  • Math Aptitude: Strong mathematical and analytical skills for calculating interest, closing costs, and payment schedules.
  • Pipeline Management: Ability to effectively manage a high-volume pipeline of loans at different stages of the process.
  • Quality Control/Auditing: Experience in performing quality control checks and audits on loan files to ensure data integrity and compliance.

Minimum Education:

Experience Requirements

Typical Experience Range:

  • 2-5 years of direct experience in a loan operations, loan processing, or loan servicing role within a bank, credit union, or mortgage lender.

Preferred:

  • Experience in a high-volume mortgage or commercial lending environment is highly preferred. Direct experience with government-backed loan programs (FHA/VA) is a significant plus.
