Core Responsibilities
Primary Functions
- Act as the central point of contact for customers, carriers, and internal departments regarding all shipment-related inquiries, providing exceptional and timely service.
- Coordinate and schedule the pick-up and delivery of freight, ensuring alignment with customer requirements, carrier capacity, and transit time expectations.
- Proactively monitor and track the status of domestic and international shipments from origin to final destination, ensuring timely delivery and providing real-time updates to stakeholders.
- Prepare, verify, and distribute all necessary shipping documentation, including Bills of Lading (BOL), proof of delivery (POD), customs paperwork, and commercial invoices.
- Utilize Transportation Management Systems (TMS) and other logistics software to accurately enter load details, track shipments, and manage data integrity.
- Diligently negotiate freight rates and service terms with carriers and brokers to secure optimal cost and performance for both spot and contract shipments.
- Swiftly identify, troubleshoot, and resolve any transportation issues, such as delays, damages, or lost freight, by coordinating with all involved parties.
- Build and maintain strong, positive relationships with a network of transportation carriers, evaluating their performance and ensuring they meet service level agreements.
- Provide competitive and accurate freight quotes to customers and internal sales teams in a timely manner, analyzing various transportation modes (LTL, FTL, Intermodal, Air).
- Conduct thorough carrier sourcing and qualification to expand the company's transportation network and ensure compliance with safety and insurance standards.
- Ensure all shipments are compliant with federal, state, and international transportation regulations, including DOT, FMCSA, and customs requirements.
- Process and audit freight invoices for accuracy, resolving any billing discrepancies with carriers to ensure correct and prompt payment.
- Manage customer accounts by understanding their unique shipping needs and preferences to provide tailored logistics solutions and foster long-term partnerships.
Secondary Functions
- Analyze shipping data and key performance indicators (KPIs) to identify trends, inefficiencies, and opportunities for cost savings and process improvements.
- Generate and present regular reports on shipment activity, carrier performance, and transportation costs to management.
