Core Responsibilities

Primary Functions

  • Sort, process, and distribute all incoming mail, interoffice correspondence, and packages to the correct departments and personnel with high accuracy and speed.
  • Operate and maintain postage meters, mail sorting machines, and other mailroom equipment, ensuring they are properly calibrated, serviced, and stocked with supplies.
  • Prepare and process all outgoing mail and packages, including weighing items, calculating correct postage, and applying postage for various carriers like USPS, FedEx, and UPS.
  • Receive, log, and meticulously track all incoming certified, registered, and accountable mail and packages using digital tracking systems or detailed manual logs.
  • Prepare items for shipment by ensuring secure and appropriate packaging, creating accurate shipping labels, and adhering to all carrier-specific requirements and regulations.
  • Coordinate and schedule daily pickups and special deliveries with various courier services, ensuring all deadlines for outgoing shipments are consistently met.
  • Conduct regularly scheduled mail runs throughout the office building to collect outgoing mail and distribute incoming items directly to department mail slots or personnel.
  • Manage and execute large-scale mailings and fulfillment projects, which includes folding, inserting, collating, sealing, and metering bulk mail campaigns.
  • Utilize proprietary and third-party shipping software platforms (e.g., FedEx Ship Manager, UPS WorldShip, Pitney Bowes) to create shipping labels, track shipments, and manage accounts.
  • Handle highly sensitive and confidential documents and information with the utmost discretion, integrity, and adherence to company security protocols.
  • Act as the primary point of contact for all internal and external inquiries regarding mail services, package tracking, shipping costs, and delivery timelines.
  • Lift, transport, and maneuver mail bins, carts, and packages, which may weigh up to 50 pounds, consistently throughout the workday.
  • Manage the entire process for returned or undeliverable mail, which involves researching correct addresses, updating records, and redirecting or returning items as necessary.

Secondary Functions

  • Maintain a clean, safe, and highly organized mailroom environment to ensure maximum efficiency and prevent loss or damage to mail and packages.
  • Monitor, manage, and order inventory for all mailroom and shipping supplies, including envelopes, boxes, postage, tape, and labels, to prevent operational downtime.
  • Assist the Facilities and Office Management teams with related office services tasks, such as stocking copy paper, managing general office supplies, and supporting event setup.
  • Generate, review, and distribute regular shipping and postage reports to management to monitor departmental usage, track expenses, and identify cost-saving opportunities.
  • Ensure strict compliance with all current U.S. Postal Service regulations and the specific guidelines of other shipping carriers.
  • Update and maintain internal mailing lists, employee directories, and department location charts to ensure flawless mail distribution.
  • Provide exceptional customer service to all employees, patiently answering questions and proactively resolving any shipping or mail-related issues that may arise.
  • Inspect and report any issues with mailroom equipment to the appropriate service vendors and oversee maintenance and repair visits.

Required Skills & Competencies

Hard Skills (Technical)

  • Mailroom Equipment Operation: Proficiency in operating postage meters, letter openers, mail sorters, and folding/inserting machines.
  • Shipping Software Proficiency: Hands-on experience with shipping platforms such as UPS WorldShip, FedEx Ship Manager, and other courier software.
    -Logistics and Postal Regulations: Strong knowledge of USPS, FedEx, and UPS services, classes of mail, pricing, and shipping regulations.
  • Physical Stamina: Ability to stand, walk, and bend for extended periods and to lift and move packages weighing up to 50 pounds.
  • Basic Computer Skills: Competency in using Microsoft Office Suite (Outlook, Word, Excel) and data entry for logging and tracking purposes.
  • Inventory Management: Experience in tracking supply levels, anticipating needs, and placing orders for replenishment.
