Core Responsibilities
Primary Functions
- Supervise and coordinate the daily activities of mail room staff, including scheduling, assigning workloads, and monitoring performance to ensure operational efficiency.
- Oversee the complete lifecycle of mail and packages, including the accurate receiving, sorting, processing, and distribution of all incoming, outgoing, and inter-office items.
- Ensure all mail and packages are handled in accordance with company security policies and postal regulations, with special attention to confidential and time-sensitive materials.
- Operate, maintain, and troubleshoot a variety of mail room equipment, such as postage meters, folding/inserting machines, mail scanners, and tracking software.
- Manage relationships with external vendors, including USPS, FedEx, UPS, and other couriers, to resolve service issues and ensure cost-effective shipping solutions.
- Train all new mail center clerks on departmental procedures, safety protocols, and the proper use of mail processing equipment and software.
- Maintain a comprehensive inventory of all shipping and mailing supplies, and manage the procurement process to prevent operational downtime.
- Develop and implement streamlined mail handling and distribution processes to improve speed, accuracy, and overall efficiency.
- Prepare and process high-volume and bulk mailings for various departments, ensuring they meet postal standards for discounts and timely delivery.
- Handle and resolve complex inquiries and issues from internal departments regarding mail services, package tracking, and shipping costs.
- Maintain meticulous records and logs of incoming certified mail, oversized packages, and other accountable items using digital tracking systems.
- Conduct regular quality control checks to minimize sorting errors and ensure service level agreements (SLAs) are consistently met.
- Oversee the processing of outgoing mail, ensuring correct postage is applied and that items are properly prepared for pickup by carriers.
- Manage departmental budgets related to postage, supplies, and equipment maintenance, seeking opportunities for cost reduction.
- Generate and analyze operational reports on mail volume, postage costs, and team productivity to inform management and guide strategic decisions.
Secondary Functions
- Serve as the primary point of contact during facility audits related to mail handling, security, and chain of custody procedures.
- Collaborate with the IT department to integrate and maintain mail tracking software and other relevant technology within the mail center.
- Participate actively in the facility's safety committee, promoting a secure and hazard-free work environment within the mail room.
- Assist the Facilities or Office Management team with special projects, office moves, and logistical tasks as required.
- Develop and update the mail center's standard operating procedures (SOPs) manual to reflect current best practices and policies.
