Core Responsibilities

Primary Functions

  • Accurately sort incoming mail, parcels, and packages by department, recipient, location, or carrier service to ensure efficient and correct distribution.
  • Operate high-speed mail sorting machinery, postage meters, scanners, and other mailroom equipment, performing basic troubleshooting and maintenance as needed.
  • Prepare outgoing mail and packages for dispatch, including weighing, calculating postage, applying correct labels, and containerizing for pickup by USPS, FedEx, UPS, and other couriers.
  • Conduct quality control checks on sorted mail to identify and correct errors, minimizing delays and ensuring compliance with postal regulations.
  • Process and log accountable mail items such as certified, registered, and express mail, maintaining meticulous records for tracking and auditing purposes.
  • Systematically break down, sort, and route bulk mailings and large shipments according to specific client or internal instructions.
  • Handle and process sensitive and confidential documents with the utmost discretion and adherence to company privacy and security protocols.
  • Load and unload mail tubs, sacks, and pallets from trucks and delivery vehicles, utilizing hand trucks or pallet jacks where necessary.
  • Read and interpret sort plans, ZIP codes, and routing labels to direct items to the correct conveyor belts, bins, or staging areas.
  • Maintain a clean, organized, and safe work environment by following all safety procedures and keeping sorting areas free of hazards.
  • Perform manual sorting of non-machinable items, oversized packages, and fragile materials that require special handling.
  • Input tracking information and update mail processing logs in our digital systems to ensure real-time visibility of mail flow.
  • Bundle, label, and wrap sorted mail into trays, tubs, or sacks for final dispatch, ensuring stability and proper identification.
  • Verify addresses and ZIP codes for accuracy, identifying and flagging incomplete or illegible information for correction.

Secondary Functions

  • Assist with periodic inventory counts of mailroom supplies, such as envelopes, boxes, postage materials, and labels, and report on restocking needs.
  • Collaborate with team members and supervisors to meet daily sorting quotas and deadlines, providing support during peak volume periods.
  • Provide friendly and efficient service at the mailroom service window, assisting internal employees with their shipping and mailing needs.
  • Support ad-hoc data requests and exploratory data analysis related to mail volume and processing times.
  • Contribute to the continuous improvement of mailroom processes by suggesting more efficient sorting and handling methods.
  • Participate in regular safety meetings and training sessions to stay current on best practices and operational changes.
  • Escalate unresolved issues, such as damaged packages or recurring address problems, to a supervisor for resolution.

  • Mail Sorting Equipment Operation: Proficiency in operating automated letter sorters, flat sorters, postage meters, and barcode scanners.
  • Logistics Software: Basic competency in using shipping software (e.g., ShipStation, Endicia) and internal tracking systems for data entry and logging.
  • Postal Regulations Knowledge: Familiarity with USPS, FedEx, and UPS mailing standards, classes of mail, and shipping requirements.
  • Basic Computer Skills: Ability to use a computer for data entry, email communication, and accessing digital sort plans.
  • Manual Dexterity: The ability to handle a high volume of letters and packages quickly and efficiently by hand.
  • Numeracy and Literacy: Strong ability to read, write, and perform basic arithmetic for verifying addresses, codes, and postage.
