Core Responsibilities
Primary Functions
- Receive, sort, and accurately distribute all incoming mail, interoffice correspondence, and publications to the appropriate departments, mail slots, or individual employees in a timely and efficient manner.
- Process all outgoing mail, which includes weighing letters and packages, calculating the correct postage based on destination and service type, and applying it using a postage meter or online shipping software.
- Manage the end-to-end process for packages from couriers like USPS, FedEx, UPS, and DHL, ensuring all items are logged into a tracking system, scanned, and delivered promptly to the correct recipient.
- Operate and maintain standard mailroom equipment, including postage meters, folding and inserting machines, high-volume scanners, and letter openers, performing basic troubleshooting and coordinating service calls for repairs.
- Maintain a meticulous and comprehensive log of all incoming certified, registered, and accountable mail and packages, securing signatures upon delivery to ensure a clear chain of custody.
- Prepare and process large-scale, time-sensitive mailings for departments like Marketing or Human Resources, which involves folding materials, stuffing envelopes, sealing, and applying bulk-rate postage.
- Monitor and manage inventory levels for all mailroom and shipping supplies, such as envelopes of various sizes, boxes, packing materials, labels, and postage, and proactively place reorders to prevent shortages.
- Serve as the primary point of contact for all mail and shipping-related inquiries from employees, providing exceptional customer service, offering shipping advice, and resolving issues promptly and professionally.
- Ensure the absolute security and confidentiality of all mail and packages handled, adhering strictly to company policies, privacy regulations, and procedures for sensitive documents.
- Coordinate with courier services for special or scheduled pickups and drop-offs, and act as the main liaison to resolve any delivery issues, tracking discrepancies, or damage claims.
- Lift, carry, and transport mailbags, trays of mail, and packages, which may weigh up to 50 pounds, throughout the facility on a regular and recurring basis.
- Maintain the mailroom and associated storage areas in a clean, organized, and safe condition, ensuring clear pathways, proper storage of materials, and compliance with safety standards.
- Perform multiple, scheduled mail runs throughout the office building each day, collecting outgoing mail from designated drop-points and distributing incoming items directly to departmental areas.
- Assist with scanning, digitizing, and indexing incoming documents for electronic record-keeping and distribution as required by various departments to support paperless initiatives.
Secondary Functions
- Provide backup support for reception or front desk duties, such as answering the main phone line and greeting visitors, during scheduled breaks, lunches, or staff absences.
- Assist the Facilities or Office Management team with small office moves, furniture reconfiguration, and other related logistical tasks that require physical support.
- Take responsibility for stocking and organizing general office supply closets and kitchen/pantry areas in common spaces to ensure they are well-maintained and provisioned.
- Prepare and configure conference rooms for meetings upon request, ensuring they are clean, tidy, and stocked with necessary materials like markers, notepads, and water.
- Generate and deliver basic reports on postage usage, package volume, and departmental shipping costs to management to assist with budget tracking and operational analysis.
- Perform routine data entry tasks related to mail services, vendor information, or other administrative functions as assigned by a supervisor.
- Act as a point of contact with building management or external vendors for any facility-related issues concerning the mailroom, loading dock, or freight elevators.
- Support special, cross-functional projects and perform other miscellaneous administrative and clerical duties as requested by the Office Manager or direct supervisor.
