Core Responsibilities
Primary Functions
- Accurately sort and distribute all incoming mail from USPS, FedEx, UPS, and other couriers to the correct departments, mail-stops, and individual personnel in a timely manner.
- Process all outgoing mail and packages, which includes weighing items, calculating correct postage, applying postage using a meter, and preparing items for courier pickup.
- Operate and perform basic maintenance on all mailroom equipment, including high-speed postage meters, letter folders and inserters, and electronic scales.
- Receive, inspect, and log all incoming accountable mail and packages (e.g., Certified Mail, overnight deliveries) into a digital tracking system, and secure signatures upon delivery.
- Coordinate and schedule pickups and deliveries with various courier services, ensuring all deadlines for outbound shipments are met.
- Manage and maintain an organized inventory of all mailroom and shipping supplies, such as envelopes, boxes, packing materials, and postage, and place orders for new stock as needed.
- Execute large-scale bulk mailing projects, including printing, folding, stuffing, labeling, and metering, ensuring compliance with postal regulations for discounted rates.
- Perform multiple mail runs throughout the facility each day, delivering mail and packages directly to designated departmental locations and collecting outgoing items.
- Adhere to and enforce all company security protocols, including screening incoming items and following established procedures for handling suspicious or unidentified packages.
- Regularly update and maintain internal mail directories and distribution lists to reflect new hires, terminations, and departmental changes.
- Manage a high volume of inter-office mail, ensuring that internal communications are sorted and delivered efficiently between different company locations or floors.
- Safely lift, move, and transport heavy mailbags, boxes, and packages, often requiring the use of hand trucks or carts.
