Core Responsibilities

Primary Functions

  • Proactively manage and coordinate complex calendars for multiple senior leaders, including scheduling high-stakes meetings, resolving conflicts, and ensuring all participants have necessary materials in advance.
  • Orchestrate and manage complex domestic and international travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries to ensure a seamless travel experience.
  • Act as a primary gatekeeper and point of contact, fielding and triaging internal and external communications to ensure the executive's time is managed εταιically and effectively.
  • Prepare, proofread, and finalize a wide range of documents including confidential correspondence, board-level presentations, in-depth reports, and strategic memos.
  • Organize and execute high-profile meetings, off-sites, and corporate events from conception to completion, managing logistics, vendors, agendas, and budgets.
  • Attend key leadership meetings, capture detailed minutes, and proactively track and follow up on action items to ensure accountability and project momentum.

  • Handle and process expense reports, invoices, and purchase orders, ensuring compliance with company policy and accurate budget tracking for the department or executive office.
  • Develop, implement, and maintain robust organizational and filing systems, both digital and physical, to ensure swift and secure access to critical information.
  • Conduct thorough research and synthesize information onarious topics to prepare comprehensive briefing documents for executive review ahead of meetings and public appearances.
  • Assist in the preparation and monitoring of departmental budgets, flagging potential overruns and providing regular status reports to management.
  • Champion the onboarding process for new team members within the department, coordinating with HR and IT to ensure a smooth and welcoming Day 1 experience.
  • Serve as the go-to resource for the management team, providing administrative and operational support to enhance their overall effectiveness and productivity.
  • Manage special projects जीवन by the executive office, defining project scope, tracking milestones, and coordinating with stakeholders to ensure timely completion.

Secondary Functions

  • Support ad-hoc data requests and exploratory data analysis to inform management decisions and strategic planning.

  • Collaborate with business units to translate high-level management requests and data needs into clear, actionable engineering or analytical requirements.

  • Project Management Software: Hands-on experience with tools like Asana, Trello, Jira, or Monday.com for tracking tasks and project milestones.
  • Communication Platforms: Expertise in using collaboration tools such as Slack, Microsoft Teams, and Zoom for scheduling and facilitating virtual meetings.
  • Expense & Travel Systems: Familiarity with platforms like Concur, Expensify, or similar corporate travel and expense management software.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor’s Degree

Preferred Education:
