Core Responsibilities
Primary Functions
- Conceptualize, plan, and execute a comprehensive calendar of B2B and B2C marketing events, including trade shows, conferences, webinars, roadshows, and customer appreciation events.
- Manage the entire event lifecycle from initial concept and strategy development through to post-event analysis and reporting.
- Develop and manage detailed event budgets, tracking all expenses, processing invoices, and ensuring events are delivered within financial parameters.
- Source, negotiate with, and manage relationships with external vendors, including venues, caterers, AV suppliers, exhibit houses, and transportation services.
- Oversee all event logistics, including venue selection, contract negotiation, food and beverage planning, travel arrangements, and accommodation booking.
- Develop and implement integrated promotional plans to drive event registration and attendance, utilizing email marketing, social media, paid ads, and content marketing.
- Coordinate the design and production of all event-related collateral, including invitations, signage, presentations, booth graphics, and promotional materials.
- Manage event registration platforms and processes, ensuring a smooth and positive attendee experience from sign-up to check-in.
- Plan and manage on-site event execution, including setup, teardown, staffing schedules, registration, and troubleshooting any issues that arise in real-time.
- Collaborate with the sales team to define event objectives, manage pre-event outreach, and ensure seamless lead capture and follow-up processes post-event.
- Define key performance indicators (KPIs) for each event, such as lead generation, pipeline influence, and ROI, and create detailed post-event reports for stakeholders.
- Manage the inventory of event assets, including booth properties, banners, and promotional swag, coordinating shipping and logistics for all events.
- Conduct thorough post-event evaluations and debriefs with internal teams to gather feedback and identify opportunities for improvement in future events.
- Serve as the primary point of contact for all event attendees, speakers, sponsors, and internal stakeholders, providing clear and timely communication.
- Research and stay current with industry trends, emerging technologies in event management (especially for virtual and hybrid formats), and competitor activities.
- Coordinate speaking opportunities and presentations for company executives and subject matter experts at industry events.
- Develop staffing plans for events and conduct pre-event briefings to ensure all staff are aligned on goals, messaging, and their specific roles.
- Manage the strategy and execution for virtual and hybrid events, including platform selection, content production, and digital engagement tactics.
