Core Responsibilities

Primary Functions

  • Meticulously analyze and interpret detailed project plans, blueprints, specifications, and contract documents to prepare comprehensive and accurate cost estimates for all mechanical systems.
  • Perform highly detailed quantity take-offs of mechanical components, including piping, ductwork, fixtures, insulation, and major equipment, utilizing both digital software and manual methods.
  • Proactively solicit and critically evaluate subcontractor and vendor quotations for materials, equipment, and labor to ensure completeness, competitiveness, and full compliance with project specifications.
  • Develop, manage, and maintain a robust internal database of historical cost data, labor productivity rates, and material pricing to refine the accuracy of all future estimates.
  • Prepare and present polished, professional bid proposals, detailed scope of work letters, and other essential bid submission documents in a clear, compelling, and timely fashion.
  • Collaborate closely and effectively with project managers, engineers, and pre-construction teams to fully understand project scope, identify potential risks, and propose value engineering opportunities.
  • Attend mandatory pre-bid meetings and conduct thorough site walk-throughs to gather critical firsthand information about project conditions, site logistics, and specific client requirements.
  • Skillfully manage and navigate bid-day pressures, making strategic, last-minute decisions to finalize and submit competitive and profitable bids ahead of strict deadlines.
  • Conduct comprehensive post-bid analysis by reviewing awarded projects with the project management team to ensure a seamless transition of knowledge and to benchmark estimated costs against actual costs.
  • Systematically identify, quantify, and document all relevant cost factors, including production time, raw materials, labor expenses, and equipment rentals, to formulate precise and realistic estimates.
  • Develop preliminary project schedules and logistics plans in coordination with the operations team to accurately factor in time-related costs, site access, and other project constraints.
  • Communicate with confidence and clarity with general contractors, architects, and engineers to resolve ambiguities in specifications and address discrepancies in bid documents.
  • Leverage specialized estimating software (such as Trimble Accubid, QuoteSoft, or FastEST) to enhance efficiency and precision in the take-off and pricing process.
  • Formulate detailed budget breakdowns and cost codes that align with the company's accounting structure, facilitating a smooth project handoff and effective cost tracking.
  • Diligently review, assess, and price change order requests, providing clients and project teams with accurate cost impacts for any modifications to the original scope of work.

Secondary Functions

  • Maintain and nurture strong professional relationships with key suppliers and subcontractors to stay informed about market pricing trends, new products, and material availability.
  • Actively participate in design-build and design-assist projects, offering real-time cost feedback to the design team to ensure the project remains aligned with the owner's budget.

Required Skills & Competencies

Hard Skills (Technical)

  • Deep proficiency in industry-specific mechanical estimating software (e.g., Trimble Accubid, QuoteSoft, FastEST, McCormick).
  • Advanced ability to read, comprehend, and interpret complex construction blueprints, technical specifications, and contract documents.
  • In-depth knowledge of mechanical systems, including commercial HVAC, plumbing, process piping, and related building codes and standards (e.g., SMACNA, ASHRAE).

Experience Requirements

Typical Experience Range:

3-10+ years of direct experience in mechanical estimating, specifically for commercial, industrial, or institutional construction projects.

Demonstrated experience with large-scale, complex projects (budgets exceeding $5 million) and a strong familiarity with alternative project delivery methods like Design-Build and IPD (Integrated Project Delivery). Professional certifications, such as a Certified Professional Estimator (CPE) from the American Society of Professional Estimators (ASPE), are a significant advantage.
