The core purpose of this role is to ensure that complex projects involving mechanical systems are delivered on schedule, within the allocated budget, and to the highest standards of quality and safety. They own the entire project lifecycle, from initial planning and resource allocation to risk management, stakeholder communication, and final project closeout.

Core Responsibilities

Primary Functions

  • Oversee the entire project lifecycle for complex mechanical systems, from initial conception and feasibility studies through to detailed design, procurement, fabrication, installation, commissioning, and final handover.
  • Develop and meticulously manage comprehensive project plans, schedules, and work breakdown structures, utilizing tools like MS Project to track milestones and ensure timely delivery.
  • Establish, monitor, and control project budgets, performing cost analysis, forecasting, and managing change orders to ensure financial objectives are met without compromising quality.
  • Serve as the primary point of contact for all project stakeholders, including clients, executive leadership, internal design teams, subcontractors, and vendors, facilitating clear, consistent, and proactive communication.
  • Lead and coordinate cross-functional project teams, including mechanical engineers, designers, technicians, and trades, fostering a collaborative and high-performance environment.
  • Conduct rigorous risk assessments throughout the project lifecycle, identifying potential technical, financial, and logistical risks and developing robust mitigation strategies.
  • Manage the procurement and subcontracting process, including drafting scopes of work, evaluating bids, negotiating contracts, and managing vendor/subcontractor performance.
  • Ensure all project activities and deliverables comply with relevant industry codes (e.g., ASME, ASHRAE), safety regulations (e.g., OSHA), and quality assurance standards.
  • Chair regular project meetings to review progress, resolve issues, and report status updates to key stakeholders, ensuring alignment and transparency across all parties.
  • Drive the technical and commercial resolution of complex issues that arise during design, fabrication, or installation, making critical decisions to keep the project on track.
  • Manage project documentation and information flow, ensuring that all drawings, specifications, RFIs, submittals, and closeout documents are properly controlled and archived.
  • Perform on-site inspections and quality control checks to verify that work is being executed according to design specifications and safety protocols.
  • Prepare and present detailed project status reports, executive summaries, and financial dashboards to senior management on a regular basis.
  • Manage client expectations and relationships, ensuring satisfaction by delivering on commitments and effectively handling any concerns or scope changes.

Secondary Functions

  • Support business development and sales teams by providing technical input, preliminary schedules, and cost estimates for new proposals and client bids.
  • Contribute to the continuous improvement of the organization's project management methodologies, processes, and tools.
  • Mentor and provide professional guidance to junior engineers, project coordinators, and other team members, fostering their growth and development.
  • Participate in post-project reviews to document lessons learned and identify opportunities for improvement in future projects.

  • Advanced Project Management Software Proficiency: Expert-level use of software such as MS Project, Primavera P6, Asana, or similar scheduling and management tools.
  • Financial & Budgetary Control: Strong ability to create, manage, and forecast project budgets, track costs, and analyze financial performance (EVM).
  • Technical Drawing Interpretation: Expertise in reading and interpreting complex engineering drawings, including P&IDs, isometric drawings, schematics, and general arrangements.
    -Contract & Subcontract Management: In-depth knowledge of contract law, negotiation strategies, and experience managing subcontractor agreements and performance.
  • Mechanical Engineering Fundamentals: A solid grasp of core mechanical principles (thermodynamics, fluid mechanics, statics/dynamics) and systems (HVAC, piping, rotating equipment).
  • Industry Codes & Standards: Familiarity with relevant codes and standards such as ASME, API, ASHRAE, and OSHA regulations.
  • Risk Management Methodologies: Proven ability to identify, quantify, and develop mitigation plans for project risks (FMEA, Risk Registers).
  • CAD/BIM Software Familiarity: Working knowledge of design software like AutoCAD, SolidWorks, or Revit is highly beneficial for design review and coordination.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's Degree

Preferred Education:

  • Project Management Professional (PMP) certification is highly desirable.

Experience Requirements

Typical Experience Range:

A minimum of 4-5 years in a direct project management role, having independently managed the full lifecycle of mechanical projects with budgets exceeding $1M. Experience in industries like commercial construction, industrial manufacturing, energy, or MEP is strongly preferred.
