Core Responsibilities

Primary Functions

  • Oversee the entire spectrum of daily operations within the medical practice, ensuring a seamless and efficient workflow that enhances patient experience and supports clinical staff.
  • Manage all aspects of the patient lifecycle, including scheduling, registration, financial counseling, and check-in/check-out processes, to optimize appointment flow and minimize wait times.
  • Serve as the primary liaison for patient inquiries, concerns, and feedback, resolving issues with professionalism and empathy to maintain the highest levels of patient satisfaction.
  • Supervise, train, and mentor a team of administrative staff, including receptionists and schedulers, fostering a collaborative, positive, and high-performance team environment.
  • Develop and implement office policies and procedures to improve operational efficiency, quality of care, and overall staff productivity.
  • Ensure the clinic maintains strict compliance with all healthcare regulations, including HIPAA and OSHA, by implementing and upholding privacy, confidentiality, and safety protocols.
  • Manage physician and clinical staff schedules, coordinating meetings, appointments, and on-call rotations to ensure optimal clinic coverage and resource allocation.
  • Oversee medical billing and collections processes, collaborating with the billing department to ensure accurate coding, timely submission of claims, and effective resolution of denials.
  • Act as a gatekeeper for patient records, ensuring the accuracy, confidentiality, and security of all physical and electronic medical files in accordance with legal standards.
  • Manage the procurement and inventory of all medical and office supplies, negotiating with vendors to secure cost-effective purchasing and prevent operational disruptions.
  • Prepare and analyze operational reports on key performance indicators such as patient volume, revenue, wait times, and staff productivity for senior management.
  • Facilitate effective communication channels between clinical staff, administrative teams, and management to ensure a cohesive and well-informed work environment.
  • Coordinate the onboarding and orientation process for new administrative hires, ensuring they are fully trained on office protocols, software systems, and patient care standards.
  • Handle facility management duties, including coordinating maintenance, repairs, and janitorial services to ensure a safe, clean, and welcoming environment for patients and staff.
  • Address and resolve any staff conflicts or performance issues promptly and professionally, conducting regular performance reviews and providing constructive feedback.
  • Manage the practice's budget for administrative operations, tracking expenses and identifying opportunities for cost savings without compromising quality.
  • Assist in the credentialing and re-credentialing process for all licensed clinical providers, ensuring all documentation is current and compliant with payer requirements.
  • Champion the implementation and effective use of technology, including EMR/EHR systems and patient portals, to streamline processes and improve care delivery.
  • Develop and maintain positive relationships with external stakeholders, including insurance providers, referring physicians, and healthcare vendors.
  • Lead daily or weekly team huddles to review schedules, address immediate challenges, and communicate important updates to the administrative team.

Required Skills & Competencies

  • EMR/EHR Proficiency: Expertise in using Electronic Medical Record systems such as Epic, Cerner, eClinicalWorks, or AthenaHealth.
  • Medical Terminology: Comprehensive knowledge of medical terminology, anatomy, and physiology.
  • Medical Billing & Coding: Strong understanding of billing practices, CPT & ICD-10 codes, and the revenue cycle management process.
