Core Responsibilities
Primary Functions
- Greet patients and visitors with a professional and compassionate demeanor, serving as the first point of contact and ensuring a positive start to their visit.

- Maintain and manage the master appointment schedule for multiple providers, optimizing patient flow and minimizing wait times through strategic booking.
- Accurately enter and update patient information, including medical history, insurance details, and contact data, into the Electronic Health Record (EHR) system.
- Uphold strict patient confidentiality by rigorously adhering to all HIPAA regulations and clinic privacy policies in every interaction and task.
- Communicate effectively with patients regarding appointment delays, preparation instructions, and general clinic information to manage expectations and ensure a smooth experience.
- Handle patient inquiries in person, over the phone, and via email, providing clear, accurate information about services, providers, and practice policies.
- Scan, index, and electronically file a variety of documents, including patient records, test results, and external correspondence, into the correct patient chart.
- Prepare and organize patient charts and necessary documentation for upcoming appointments, ensuring all information is current and readily accessible for clinical teams.
- Act as a central communication liaison between patients, physicians, nurses, and medical assistants to ensure seamless coordination of care.
- Manage and process requests for medical records from patients, other healthcare facilities, and insurance companies, ensuring proper authorization is obtained.
- Perform end-of-day financial reconciliation, accurately balancing cash, check, and credit card payments and preparing daily deposit reports.
- Proactively manage the patient recall and reminder system, contacting patients for routine check-ups, follow-ups, and to fill last-minute cancellations from a waitlist.
- Facilitate the patient referral process by coordinating with specialists' offices, completing necessary paperwork, and ensuring the timely transfer of medical information.
- Address and de-escalate patient concerns or complaints with empathy and professionalism, resolving issues when possible and escalating to management when necessary.
- Assist patients with navigating the patient portal, helping them to set up accounts and understand how to access their health information online.
- Coordinate with external services, such as laboratories, imaging centers, and pharmacies, to schedule tests and transmit orders as directed by providers.
