Core Responsibilities
Primary Functions
- Directly supervise and support the night audit team, providing guidance, coaching, and corrective action to ensure adherence to brand standards and operational procedures.
- Perform all duties of a Night Auditor, including processing guest check-ins and check-outs for late arrivals and early departures, while serving as an escalation point for the team.
- Execute the comprehensive end-of-day process within the Property Management System (PMS), ensuring all transactions are posted and the system is successfully rolled over to the next calendar day.
- Meticulously audit, balance, and consolidate all daily revenue and settlement transactions from various hotel departments, including rooms, food and beverage, and other outlets.
- Investigate and resolve any discrepancies found during the auditing process, working diligently to correct errors and ensure a perfectly balanced daily financial report.
- Prepare and distribute a comprehensive suite of daily, weekly, and monthly reports for hotel management, summarizing key operational and financial data like revenue, occupancy, and average daily rate (ADR).
- Act as the designated Manager on Duty (MOD) throughout the overnight shift, taking full responsibility for guest and associate safety, security, and overall hotel operations.
- Respond calmly and effectively to all guest concerns, complaints, and requests, empowering the team to resolve issues while handling escalated situations with professionalism and care.
- Conduct regular security walks of the entire property, both interior and exterior, to ensure a safe and secure environment for all guests and employees.
- Serve as the primary point of contact for all overnight emergencies, including medical situations, fire alarms, or security incidents, and execute emergency procedures flawlessly.
- Manage and maintain the front desk cash float, ensuring accurate cash handling procedures are followed by the team and that all deposits are balanced and secured.
- Oversee the entire guest accounting process, from posting charges and settling folios to managing direct billing and resolving complex guest billing inquiries.
- Develop and manage the weekly work schedule for the night audit team, ensuring adequate coverage while managing labor costs and accommodating associate requests.
- Train new and existing Night Auditors on all aspects of the role, including PMS procedures, guest service standards, cash handling, and emergency protocols.
- Conduct regular performance evaluations and provide ongoing, constructive feedback to night audit staff to foster professional growth and maintain high performance standards.
- Ensure the front desk, lobby, and all public areas remain clean, organized, and presentable throughout the night, projecting a consistently positive image of the hotel.
- Compile and communicate a detailed pass-on log for the morning shift, highlighting any unresolved issues, guest feedback, or significant events from the overnight period.
- Proactively manage room inventory, process no-show reservations, and block rooms for special requests or arrivals to maximize occupancy and revenue.
- Uphold and enforce all hotel policies, procedures, and brand standards, serving as a role model for the team in professionalism, ethics, and service excellence.
- Collaborate with the accounting department to provide necessary documentation and reports, ensuring a smooth and accurate flow of financial information.
