Core Responsibilities

Primary Functions

  • Oversee and coordinate all operational activities during the night shift, including production, warehousing, and staff assignments, to ensure all performance targets are met or exceeded.
  • Act as the primary on-site point of contact for all personnel, management, and external stakeholders during overnight hours, handling all inquiries and escalations.
  • Monitor workflow, operational processes, and team performance in real-time, proactively identifying and resolving bottlenecks or issues to maintain optimal efficiency and productivity.
  • Enforce strict adherence to all health, safety, and environmental (HSE) policies, conducting regular safety walkthroughs, addressing hazards immediately, and leading the safety culture on the shift.
  • Manage and allocate resources effectively, including personnel, equipment, and materials, to meet the dynamic demands of the shift's operational plan.
  • Provide clear leadership, direction, and motivational support to the night shift team, fostering a positive, collaborative, and high-performance work environment.
  • Conduct detailed and structured end-of-shift handovers with the incoming day shift coordinator, clearly communicating key updates, unresolved issues, and performance metrics.
  • Prepare and submit comprehensive shift reports that accurately detail production numbers, staffing levels, safety incidents, quality control issues, and any significant events.
  • Respond promptly and effectively to any emergencies, incidents, or facility alarms, following established emergency action plans and escalating to senior management as required.
  • Facilitate on-the-job training and continuous development for new and existing night shift employees, ensuring they are competent in their roles and fully aware of all safety standards.
  • Monitor employee performance throughout the shift, providing constructive, real-time feedback, coaching, and addressing any performance-related concerns in a timely and professional manner.
  • Manage employee scheduling for the night shift, which includes handling call-outs, finding coverage, approving time-off requests, and ensuring adequate staffing at all times.
  • Maintain accurate and up-to-date records of inventory levels, production output, and quality control checks performed during the shift, ensuring data integrity.
  • Coordinate with the maintenance department to report and address any equipment malfunctions or breakdowns, with a focus on minimizing operational downtime.
  • Uphold and enforce all company quality standards, conducting spot checks and ensuring all products or services consistently meet the required specifications before leaving the shift.
  • Serve as the first point of contact for resolving minor employee conflicts or grievances, promoting a respectful and professional workplace through fair and consistent mediation.
  • Communicate key business updates, policy changes, and performance goals from senior management to the night shift team, ensuring everyone is aligned and informed.
  • Ensure the physical security of the facility during overnight hours, overseeing access control procedures and reporting any suspicious activity to the appropriate channels.
  • Champion continuous improvement initiatives on the night shift, encouraging team members to suggest, test, and implement more efficient and safer ways of working.
  • Liaise with logistics and supply chain partners to coordinate after-hours shipments and deliveries, guaranteeing a smooth flow of inbound and outbound materials.
  • Perform regular audits of operational processes, documentation, and work areas to ensure ongoing compliance with internal standards and external regulations.

Secondary Functions

  • Support ad-hoc operational projects and initiatives as directed by the Operations Manager.
  • Contribute to the development, review, and refinement of standard operating procedures (SOPs) for night shift tasks.
  • Collaborate with Human Resources to assist in the recruitment, interviewing, and onboarding process for new night shift personnel.
  • Participate in cross-functional team meetings and committees to represent the unique needs and challenges of the overnight operation.

Required Skills & Competencies

Hard Skills (Technical)

  • ERP/WMS Proficiency: Strong working knowledge of Enterprise Resource Planning (ERP) or Warehouse Management Systems (WMS) like SAP, Oracle, or Manhattan.
  • MS Office Suite: Advanced proficiency in Microsoft Office, particularly Excel for data analysis and reporting, Word for documentation, and Outlook for communication.
  • Safety Regulation Knowledge: In-depth understanding of Health and Safety (OSHA/HSE) regulations and best practices in an industrial or logistics environment.
  • Inventory Management: Proven experience with inventory control systems, cycle counting, and reconciliation processes.
