Core Responsibilities

Primary Functions

  • Manage all aspects of office operations, including ordering supplies, managing vendor relationships for services like cleaning and maintenance, and overseeing mail distribution and shipping.
  • Execute core financial administration tasks, such as processing accounts payable/receivable, preparing check requests and expense reimbursements, and assisting the finance team with month-end closing and budget tracking.
  • Maintain and manage the organization's CRM database (e.g., Salesforce, Raiser's Edge), ensuring the accuracy and integrity of donor, volunteer, and constituent data through regular clean-up and updates.
  • Provide high-level scheduling and administrative support for the Executive Director and senior leadership, managing complex calendars, coordinating travel arrangements, and preparing materials for key meetings.
  • Serve as the primary liaison for the Board of Directors, responsible for scheduling all board and committee meetings, compiling and distributing board packets, and recording, transcribing, and distributing official meeting minutes.
  • Support Human Resources functions by assisting with the new hire onboarding process, maintaining confidential personnel files, answering basic benefits questions, and posting job descriptions on relevant platforms.
  • Assist the development and fundraising team by tracking grant application and reporting deadlines, compiling necessary attachments for proposals, and generating timely gift acknowledgment letters for donors.
  • Facilitate internal and external communications by making routine updates to the organization's website, assisting with the creation and distribution of e-newsletters, and managing basic social media posts.
  • Deliver crucial administrative support to program staff, which includes managing registration for events and workshops, preparing program materials, and assisting with tracking participant data and outcomes.
  • Coordinate the full lifecycle of organizational events, from small staff gatherings to large-scale fundraisers, including venue sourcing, catering arrangements, A/V logistics, and on-site registration management.
  • Ensure organizational compliance by assisting in the preparation and filing of required reports for government agencies, foundations, and other regulatory bodies.
  • Act as the central point of contact for technology and IT support, troubleshooting basic office equipment and software issues and coordinating with external IT consultants for more complex problems.
  • Develop, maintain, and update internal administrative systems, policies, and procedures to enhance organizational efficiency and ensure clear documentation.
  • Manage incoming inquiries via phone and general email accounts, providing excellent customer service and directing communications to the appropriate staff members.
  • Oversee the maintenance and organization of both physical and digital filing systems, ensuring all critical documents are secure, confidential, and easily accessible.

Secondary Functions

  • Provide support for ad-hoc data requests from various departments, pulling targeted reports from the CRM and other databases to inform strategy and decision-making.
  • Contribute to the continuous improvement of internal processes by proactively identifying administrative inefficiencies and recommending new systems, software, or workflows.
  • Collaborate with program and development teams to ensure administrative processes, such as data entry protocols and financial tracking, effectively support their goals and reporting needs.
  • Participate in cross-departmental team meetings and strategic planning sessions to provide an administrative and operational perspective on new initiatives.
  • Assist in researching and vetting new office technologies and software solutions aimed at improving productivity and collaboration across the organization.
  • Serve as an active member of the internal culture committee, helping to plan staff retreats, team-building activities, and employee recognition programs.
  • Provide essential backup support for other administrative or programmatic roles within the organization as needed during staff absences or high-volume periods.

Required Skills & Competencies

Hard Skills (Technical)

  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and cloud-based collaboration tools like Google Workspace.
  • Hands-on experience with nonprofit CRM databases, such as Salesforce for Nonprofits, Raiser's Edge, Bloomerang, or Little Green Light.
  • Working knowledge of basic bookkeeping principles and experience with accounting software, particularly QuickBooks for Nonprofits.
  • Familiarity with updating content on website platforms like WordPress, Squarespace, or similar Content Management Systems (CMS).
  • Experience managing virtual meeting and webinar platforms, including Zoom, Microsoft Teams, and Google Meet.
  • Proficiency in using project management tools such as Asana, Trello, or Monday.com to track tasks and deadlines.

Education & Experience

Educational Background

Minimum Education:

  • Associate's Degree or equivalent combination of training and professional experience.

Preferred Education:

  • Bachelor's Degree

Experience Requirements

Typical Experience Range:
