Core Responsibilities

Primary Functions

  • Collaborate with Program Managers to support the day-to-day coordination and administration of ongoing community programs and initiatives.
  • Assist in the planning, logistics, and on-site execution of programmatic events, workshops, and community meetings, including venue setup, material preparation, and attendee management.
  • Conduct outreach to community partners, stakeholders, and potential program participants through email, phone calls, and in-person networking to build relationships and increase program enrollment.
  • Develop and distribute promotional materials, including flyers, email newsletters, and social media content, to raise awareness of upcoming programs and services.
  • Support the participant intake and registration process, ensuring accurate and confidential collection of demographic and contact information.
  • Engage directly with program participants to provide information, answer questions, and create a welcoming and inclusive environment.
  • Assist in the collection of program data, including attendance records, pre/post-surveys, and qualitative feedback, to support monitoring and evaluation efforts.
  • Research relevant topics, community needs, and best practices to inform program development and contribute to strategic planning discussions.
  • Provide direct support for specific projects or campaigns, taking ownership of smaller workstreams under the guidance of a program lead.
  • Help maintain and update program calendars, work plans, and project management tools to ensure all team members are aligned on timelines and deliverables.
  • Draft correspondence, reports, and presentations for internal and external audiences, summarizing program activities and initial outcomes.
  • Participate in team meetings, contributing ideas and providing updates on assigned tasks and responsibilities.
  • Facilitate small group activities or discussions during program sessions, gaining direct experience in program delivery.

Secondary Functions

  • Maintain and organize the program contact database or CRM, ensuring participant and partner information is accurate and up-to-date.
  • Prepare materials for meetings, including drafting agendas, taking minutes, and assembling information packets for board or committee review.
  • Provide general administrative support to the program team, such as filing, photocopying, and organizing digital and physical program files.
  • Assist in tracking program expenses and processing invoices or reimbursement requests in accordance with organizational policies.
  • Support the volunteer management process by helping to screen, train, and coordinate volunteers for program-related activities.
  • Monitor the organization’s general program inquiry email inbox and phone line, responding to public questions or routing them to the appropriate staff member.
  • Contribute content to the organization's website and social media channels that highlights program successes, participant stories, and community impact.
  • Support basic grant-related tasks, such as gathering supporting documents or compiling data for grant reports.

Required Skills & Competencies

Hard Skills (Technical)

  • MS Office / Google Workspace: Proficiency in Word/Docs for document creation, Excel/Sheets for data tracking, and PowerPoint/Slides for presentations.
  • Database Management: Basic understanding of or willingness to learn CRM software (e.g., Salesforce, Neon CRM, Bloomerang) for tracking stakeholder information.
  • Social Media Platforms: Familiarity with managing content for platforms like Instagram, Facebook, LinkedIn, and Twitter for outreach purposes.
  • Project Management Tools: Experience with or ability to quickly learn tools such as Asana, Trello, or Monday.com for task tracking.

Educational Background

Minimum Education:

Experience Requirements

Typical Experience Range:
