Core Responsibilities
Primary Functions
- Lead, coach, and develop a cross-functional optical team (dispensing opticians, lab techs, sales associates) by setting clear performance expectations, running weekly huddles, conducting quarterly performance reviews, and delivering targeted training on product knowledge, fittings, and patient communication.
- Own day-to-day dispensary operations including patient intake, measurements, refraction support, frame selection, lens recommendations, fitting, adjustments and final dispense to guarantee exceptional patient experiences and on-time eyewear delivery.
- Manage the optical lab workflow end-to-end: triage orders, prioritize urgent repairs, coordinate with external labs, quality-check returned lenses and frames, and implement standard operating procedures to reduce rework and lead times.
- Maintain and optimize inventory levels for frames, lenses, coatings and accessories using historical sales data and vendor lead times; perform regular stock audits and implement shrinkage prevention measures.
- Oversee lens ordering and verification processes, ensuring accurate prescriptions, lens designs, coatings, and special instructions (e.g., prism, high-index, progressive fitting) are captured and communicated to lab partners.
- Drive sales performance by setting monthly revenue and units-per-visit targets, training staff on cross-sell/up-sell techniques, monitoring KPIs (AUR, conversion rate, attach rate), and implementing visual merchandising strategies that increase average order value.
- Act as the primary point of contact for vendor and lab relationships: negotiate pricing, resolve quality issues, escalate warranty claims, and maintain vendor scorecards to ensure SLA compliance and competitive margins.
- Ensure regulatory compliance (HIPAA, OSHA, state optical licensing rules) by auditing patient records handling, sterilization protocols for tools, maintenance of licensure postings, and facilitating compliance training for the team.
- Implement and maintain electronic systems (POS, EHR/Eye Care EMR integrations, lab ordering portals) to streamline order entry, claims processing, and patient communication and to reduce order entry errors.
- Manage patient billing, insurance verification and claims submission processes for vision plans (VSP, EyeMed, Medicaid/Medicare where applicable) and collaborate with billing to resolve denials and rejections.
- Control operational budgets including payroll, cost of goods sold (COGS), lab expenses, repair costs and discretionary spend; prepare monthly P&L reviews and implement corrective actions to improve margin and profitability.
- Lead corrective action plans for quality incidents and customer complaints by performing root cause analysis, instituting process changes and tracking outcomes to prevent recurrence.
- Coordinate scheduling and resource allocation between optometrists, opticians and front desk to maximize patient throughput while preserving high-quality clinical care and patient satisfaction.
- Solve complex fitting problems (high prescriptions, progressive lens adaptation, post-op eyewear) by leveraging clinical knowledge and advanced measurement techniques such as centration, pantoscopic tilt and vertex distance adjustments.
- Design and lead staff training programs for new product launches, new lens technologies (anti-reflective, blue-light, photochromic), and emerging dispensing techniques to maintain competitive differentiation.
- Monitor and report on patient satisfaction metrics, Net Promoter Scores and online reviews; design service recovery strategies to win back dissatisfied customers and turn feedback into operational improvements.
- Oversee in-house repairs and adjustments program including equipment maintenance schedules, tool calibration, and training for bench-side technicians to maintain turnaround targets.
- Implement inventory loss prevention and warranty tracking systems, including serialized tracking for premium frames, controlled substance-like handling for specialized lenses and coordinated recalls where necessary.
- Execute store-level marketing and community outreach programs such as trunk shows, frame vendor events, school vision screenings and local advertising to grow brand awareness and new patient acquisition.
- Collaborate with clinical leadership and optometrists on workflow improvements, new service offerings (contact lens clinics, specialty lens programs), and product assortment decisions that align with overall clinic strategy.
- Prepare and maintain all required documentation and licensing for optical operations, including maintaining continuing education records for licensed opticians and ensuring staff certifications are current.
- Lead cross-site coordination for multi-location operators: share best practices, standardize SOPs, coordinate vendor discounts and transfer inventory between locations to balance supply and demand.
