Core Responsibilities

Primary Functions

  • Conduct in-depth initial consultations with clients to fully understand their vision, objectives, guest demographics, and budgetary constraints for the event.
  • Develop and present creative, personalized event concepts, themes, and mood boards that align with the client's style and goals.
  • Research, evaluate, and secure ideal event venues, conducting thorough site visits and negotiating contracts to ensure the space meets all aesthetic and logistical requirements.
  • Source, vet, and manage a diverse network of third-party vendors, including caterers, florists, photographers, entertainers, and rental companies, ensuring quality and reliability.
  • Create, manage, and meticulously track detailed event budgets, providing clients with transparent cost estimates and identifying opportunities for cost savings.
  • Develop comprehensive project timelines and production schedules, outlining all critical tasks and deadlines from pre-planning through post-event breakdown.
  • Coordinate all logistical elements of the party, including guest list management, RSVP tracking, seating arrangements, transportation, and accommodation if necessary.
  • Act as the primary point of contact for the client, vendors, and venue staff, ensuring clear, consistent, and proactive communication throughout the entire planning process.
  • Provide hands-on, on-site event management on the day of the party, overseeing setup, coordinating vendor arrivals, and troubleshooting any emergent issues in real-time to ensure a seamless flow.
  • Design the overall guest experience, from the flow of the event and entertainment programming to small, impactful details that create a "wow" factor.
  • Review and negotiate all vendor and venue contracts, ensuring favorable terms and protecting the client's interests.
  • Collaborate with caterers and chefs to design custom menus, plan tastings, and accommodate all dietary restrictions and special requests from guests.
  • Manage the design, printing, and distribution of event collateral, including invitations, menus, programs, and signage.
  • Identify potential event risks and develop robust contingency plans for challenges such as inclement weather, technical failures, or vendor issues.
  • Conduct post-event debriefs with clients to gather feedback, reconcile all final invoices, and ensure timely payment to all vendors.

Experience Requirements
