Core Responsibilities

Primary Functions

  • Serve as the primary point of contact at the public counter, over the phone, and via email, providing exceptional customer service and information regarding permit requirements, zoning ordinances, and building codes.
  • Receive, review, and process a high volume of permit applications (building, plumbing, electrical, mechanical, etc.) for completeness, accuracy, and compliance with established regulations.
  • Accurately calculate, collect, and process permit fees, impact fees, and other associated payments using cash handling procedures and point-of-sale systems.
  • Perform detailed data entry of application information, inspection results, and project statuses into specialized permit tracking software (e.g., Accela, EnerGov, Bluebeam).
  • Electronically and physically route building plans, specifications, and applications to various internal and external departments (e.g., Planning, Engineering, Fire, Health) for review and approval.
  • Monitor the progress of submitted applications, proactively communicating with applicants and review staff to resolve pending issues and ensure timely processing.
  • Issue approved permits and post them to the appropriate project files once all prerequisites, including fee payment and departmental sign-offs, are met.
  • Schedule and coordinate inspections between property owners, contractors, and building inspectors, managing calendars and dispatching requests efficiently.
  • Maintain a comprehensive and organized system of digital and physical records, including permits, plans, inspection reports, and official correspondence.
  • Verify contractor licensing, workers' compensation, and liability insurance to ensure all parties working in the jurisdiction are properly credentialed and insured.
  • Prepare and issue official documents such as Certificates of Occupancy or Certificates of Completion upon final inspection approval and project closeout.
  • Research and retrieve property information, permit history, and zoning data for the public, staff, and other agencies using GIS, archival records, and database systems.
  • Communicate complex technical and procedural information to a diverse audience in a clear, concise, and easily understandable manner.
  • Assist in de-escalating and resolving customer concerns and complaints, or escalate them to the appropriate supervisor or Building Official when necessary.
  • Prepare daily cash reconciliation reports, balance the cash drawer, and prepare bank deposits in accordance with financial policies.

Secondary Functions

  • Assist with processing public records requests in compliance with state and local laws.
  • Support the Building Official and other department staff with administrative tasks, scheduling, and correspondence.

Educational Background

Minimum Education:

Experience Requirements
